THE POSITION:

We are looking for a passionate, upbeat, innovative, and organized person to join us as Executive Assistant / Office Manager Working under the direct supervision of the CEO. This is an tremendous position for someone with good work ethics and an interest in Office Management, Personal Assistance and Administration. Our ideal candidate is a multi-tasker that can meet accelerated deadlines, manage detailed projects, is passionate about working on a fast-moving team. SKILLS AND EXPERIENCE REQUIRED:

  • Excellent organisation and communication skills (written and verbal).
  • Expert in all Microsoft Office suite applications
  • Exceptional attention to detail
  • Ability to work under pressure and to tight deadlines
  • Great organisational and time management skills
  • Excellent interpersonal skills with well-tuned EQ, especially with regard to the ability to proactively identify or anticipate executive needs and develop executive intent.
  • Proactive self-starter with excellent problem-solving skills

  • Possess an awareness of when discretion is required, and adhere to high confidentiality

Responsibilities:

  • Providing extensive admin support to the CEO (professional and personal).
  • Manage and/or participate in various projects (implementing process improvements, managing the coordination of a conference, etc.) and support ad hoc requests.
  • Independently manage leader(s) calendar and prioritization of meetings. Schedule meetings and/or conferences by interacting with internal/external partners/clients to coordinate calendars, accommodations, meeting materials and supplies
  • Heavy calendar management and travel arrangements (personal and business both domestic and international)
  • Act as the point of contact among executives, employees, clients, and other external partners
  • Responsible for coordinating meetings, setting up appointments and setting reminders on behalf of the CEO
  • Attend meetings, take records or minutes and process these accordingly and monitor actions taken on decisions made
  • Manage information flow in a timely and accurate manner.
