Description:
H2 Energy Europe is a developer of large-scale green hydrogen ecosystems in Europe, majority owned by Trafigura. Our projects cover different parts of the green hydrogen value chain from production to distribution and consumption. Major green hydrogen production projects include a 1GW plant in Esbjerg, Denmark converting offshore wind power, and a 20MW plant in Milford Haven, South Wales. H2 Energy Europe is also rolling out a hydrogen filling station network with sites along major transport routes across Germany, Austria, and Denmark.

We are looking for a highly organized and proactive Executive Assistant & Office Manager to provide comprehensive support to our Executive team and maintaining a professional and efficient work environment.
The ideal candidate will be a strategic partner, enabling the executives to focus on driving the business forward by managing a variety of administrative and logistical tasks. This role requires discretion, a keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
DESIRED EXPERTISE AND SKILLS
In order to succeed in the role, we are looking for candidates with the following skills:
- Minimum of 10 years of experience as an Executive Assistant or in a similar role supporting senior executives
- Previous Office Manager experience
- Exceptional organizational skills with the ability to prioritize and manage multiple tasks simultaneously
- Passion for customer service with a focus on accuracy and attention to detail
- Ability to take ownership and deliver results
- Highly motivated and flexible team player who enjoys contributing to a positive office environment
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills in German and English are mandatory
Responsibilities:
KEY RESPONSIBILITIES
Your key responsibilities include:
- Calendar Management: Coordinate and manage the executives’ schedules, including meetings, appointments and travel arrangements. Ensure that the executives’ time is optimized and that priorities are met.
- Communication: Act as the primary point of contact for internal and external stakeholders. Manage and respond to emails, phone calls, and other forms of communication on behalf of the executives.
- Meeting Coordination: Prepare agendas, materials, and presentations for meetings. Take minutes, follow up on action items, and ensure deadlines are met.
- Travel Arrangements: Plan and organize domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Project Management: Assist with the coordination and execution of special projects as assigned. Track progress, manage deadlines, and communicate updates to relevant stakeholders.
- Document Preparation: Draft, review, and edit documents, reports, and presentations. Ensure all materials are accurate and professionally presented.
- Confidentiality: Handle sensitive information with the utmost discretion and maintain the confidentiality of all business and personal matters.
- Relationship Management: Build and maintain strong relationships with internal teams, clients, and key stakeholders. Foster a positive and collaborative working environment.
- Office Management: Managing office operations and procedures to ensure optimal organizational effectiveness and efficiency.
