Description:

Compensation: Compensation commensurate upon experience and market value Overview:
The Executive Assistant/Office Manager will be responsible for administrative support to the Management Team in Australia and Singapore. This role is also responsible for the maintenance and oversight of these offices and manage the variety of vendors who provide service to the organization. This role interfaces with headquarters to ensure delivery and performance to ensure smooth function across the Sydney and Singapore offices.

Responsibilities:

  • Executive Administrative support with strategic planning and initiative to support Managing Directors in Sydney and Singapore (calendar management/schedule meetings, travel, expenses and PEX reconciliation)
  • Regular liaison with building and third-party vendors to complete maintenance; submit building maintenance requests and notification to organization that problem is set to be resolved
  • Reception desk coverage
  • Weekly grocery orders and kitchen re-stocking
  • Manage ordering of supplies or special orders
  • Assist with managing logistics for customer meetings, conference registration, and events for Office
  • Meet regularly with headquarters Operation team to ensure alignment and coordination
  • Management of ad-hoc day-to-day operational tasks such as any required setup for meetings
  • Manage and schedule regular office social events (e.g. holiday party, new arrival activities, roundtables)
  • Other admin duties as assigned

Qualifications:

  • At least 7 years of relevant experience in an administrative or customer service environment
  • Preferred background and understanding of government, IC or military
  • Excellent verbal and written communication skills as well as phone etiquette
  • Ability to prioritize and multitask
  • The ability to work in a fast-paced environment
  • Flexible to work within time-zones (AUS/Singapore)
