Description:
Our client is looking for an experienced Executive Assistant/Operations Manager to support the CEO and COO.
In this role, you will be a thought partner and sounding board for our CEO. You will manage the scheduling of the CEO’s client delivery, and you will work directly with C-suite clients and their teams. You will also play a significant role in supporting business and finance operations as a right hand to the COO.
Responsibilities:
Executive Support
- Manage the CEO’s schedule, with the objective of maximizing their productivity and building strong relationships with clients
- Be a thought partner, confidante, and sounding board to the CEO.
- Manage all aspects of the CEO’s schedule and calendar to maximize productivity, including scheduling delivery of client work
- Assess situations and determine the appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and enabling them to focus on business priorities.
Operations Support
- Creates new/modifies existing project management reports
- Produces and analyses monthly Key Performance Indicators (KPIs), such as sales and utilization reports
- With direction, prepares government compliance reporting and remittances (e.g. quarterly WSIB reports, annual EHT return, quarterly HST)
- Processes subcontractor payroll (review invoices, create payment summary, enter payments into payroll system)
- Supports accounts receivable by creating invoices in QuickBooks
