Orgel Wealth Management is seeking an Executive Assistant to provide high-level administrative professional support in a well-organized and timely manner for one or more relationship managers, executives, or principals of the organization.

POSITION SUMMARY

The Executive Assistant provides high-level administrative professional support in a well-organized and timely manner for one or more relationship managers, executives or principals of the organization. The Executive Assistant must become fully aware of the executive’s strategic goals and objectives and assist in achieving such goals by being highly self-motivated, proficient, strong problem-solving skills, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.

ADDITIONAL SKILLS REQUIRED

The Executive Assistant must be able to:

  • Understand and adhere to all firm policies and procedures
  • Exercise the highest level of professionalism in personal presentation, communication, and all interactions with clients and employees

  • Function well in a team environment by maintaining a positive, collaborative approach
  • Work independently with self-motivation
  • Leverage technology, including the Microsoft Office Suite, Practifi (Salesforce), Tamarac, Morningstar, and other software applications as necessary

Responsibilities:

  • Maintain calendars and arrange meetings, conference calls and other appointments as required.
  • Maintain the highest level of discretion and confidentiality with respect to client and firm information.
  • Coordinate preparation of meeting material; respectfully request and organize client information for meetings on the executive’s behalf.
  • Exercise the highest level of professionalism in personal presentation, communication, and all interactions with clients and employees.
  • Review incoming mail (including e-mail) and organize correspondence needing direct attention. Answer and/or draft responses to incoming mail; if applicable, route to other individuals for response and/or closure.
  • Maintain an efficient filing system of correspondence and records to ensure efficiency and organization.
  • Accurately and promptly compose various correspondence, memos and other materials from copy, dictation or verbal instructions, as assigned. Ensure correspondence are neat, accurate and grammatically correct.
  • Answer telephone in a courteous, businesslike manner and promptly and accurately handle messages. Review and respond to voice mail messages. Refer callers to appropriate individuals for a response when necessary or in the executive’s absence.
  • Provide effective communication between the executive team and internal departments by maintaining credibility, trust, and support with senior management.
  • Make arrangements for business travel, including all air, hotel and transportation arrangements. Prepare a detailed travel itinerary, including any necessary background material for trips. Make travel arrangements for visiting clients or prospects when requested.
  • Conduct oneself at all times in accord with The Orgel Way and maintain the highest of standards of client confidentiality and organizational discretion.
