POSITION SUMMARY:

The Executive Assistant will work in PJI’s Garden Grove, CA office under the supervision of the Assistant Director of Operations. This individual will provide high-level administrative support to the President of PJI, ensuring seamless communication, scheduling, and operational effectiveness. As a critical liaison between the President and the Operations department, the Executive Assistant will contribute to advancing PJI’s mission through strong organizational skills and proactive problem-solving.

EXPERIENCE:

  • A minimum of 2 years in an administrative role supporting executive leadership.
  • Experience building relationships with donors, churches, or faith-based communities is a plus.

SKILLS AND COMPETENCIES:

  • Proficient in Microsoft Office Suite, Google Calendar, Gmail, and quick to learn new software and systems.
  • Excellent written and verbal communication skills.
  • Strong time management and organizational skills, with the ability to coordinate multiple projects simultaneously.
  • Basic proficiency in using and navigating CRM platforms.

Responsibilities:

  • Executive Support: Manage correspondence (mail, email, and phone calls) for the President, coordinate donor communication, and convey directives to senior leadership to ensure organizational goals are achieved.
  • Schedule Management: Organize and maintain the President’s calendar, including complex scheduling, travel arrangements, accommodations, and transportation logistics.
  • Operational Support: Refine and maintain internal processes related to scheduling, communication with supporters, and operational practices to enhance efficiency.
  • Administrative Tasks: Handle clerical duties such as answering and screening phone calls, responding to live chats and emails, and managing data entry in the constituent database (CRM).
  • Additional Duties: Perform other administrative tasks as assigned by the Assistant Director of Operations to support the team’s objectives.
