The Executive Assistant provides direct administrative support to four executives including the Chief Healthcare Solutions Officer, Chief Medical Officer, SVP Healthcare Solutions and the SVP Sales Healthcare Solutions. The Executive Assistant may provide support to other members of Paradigm leadership as required.

  • This is a full remote position

QUALIFICATION REQUIREMENTS:

  • High School diploma required; college degree desired.
  • Five + years’ experience in an administrative support services role.
  • Experience working in a rapid paced environment with constant multiple priorities.
  • Intermediate to advanced working skills using Microsoft Word, Excel and PowerPoint software packages, including medical transcription and terminology desirable.
  • Able to multi-task and take on projects as requested.
  • Able to maintain a high level of confidentiality as appropriate when exercising all administrative duties.
  • Maintain a high level of energy with a positive attitude.
  • Able to maintain a dependable and flexible work schedule.
  • Able to work independently.
  • Ability to cope with the pressure of numerous, simultaneous top priorities from multiple team members.

Responsibilities:

  • Provide administrative and secretarial support to supported executives in the accomplishment of their daily tasks and monthly priorities.
  • Pro-actively manage Outlook calendars for the supported executives and other leaders as needed.
  • Coordinate travel arrangements, meeting registrations and speaking engagements for supported executives and other leadership as requested.
  • Coordinate calendar and meeting preparations for supported executives and a variety of meetings within the business unit including all employee meetings; coordinate presentation needs with IT and/or Marketing for room set up; coordinate and provide instructions for virtual type meetings; coordinate catering needs and any off-site dining requirements for the meetings as well as ground transportation or any other activities as required.
  • Coordinate and prepare a variety of documents including power point presentations for board meetings, executive leadership meetings, and business unit meetings.
  • Assist and facilitate administrative functions for other departments as needed/requested, including answering phones, meeting coordination, resource management, expense reports, etc.
  • Assist Chief Medical Officer in scheduling of various in-house committee meetings and provide document support as needed.
  • Schedule interviews and orientation meetings for supported executives and direct reports.
  • Cross train with the other Executive Assistants to ensure back-up support is available to all teams.
  • Process expense reports for supported executives, and others as needed.
  • Process invoices related to supported executives and the business unit.
  • Various projects as assigned.
