Overview:
We’re on the lookout for a motivated, professional and confident Executive Assistant to join our International Beverages Team based in Dublin.
The successful candidate will provide support to our VP Strategy, Sr Directory Finance and Sr Director HR.
The right candidate will be someone who is highly organised and is able to manage multiple diaries. You’ll be able stay calm under pressure and keep up in a fast-paced office environment with a positive attitude and willingness to get involved. This is a busy role where you will need to think on your feet, you will need to be able to plan and effectively prioritise your workload. The team is looking for an enthusiastic PA who is a whizz at Outlook and PowerPoint and isn’t fazed by an ever-changing agenda!
Responsibilities:
PRINCIPLE ACCOUNTABILITIES:
- Provide secretarial and administration support to team (as relevant) on scheduling, meeting, traveling and T&E claims
- Manage the calendars (across various time zones)
- Manage schedule appointment and travel arrangement of team i.e. meeting conference
- Organize and coordinate related meeting conference and visitor both local and regional
- Monitoring and tracking team T&E expenses on monthly basis.
- Provide administrative support to the full team
- Schedule business appointments and make arrangements for meetings onsite and offsite, organise conferences and arrange travel, including visas for members of the group
- Organizing travel arrangements, this will often be global, and you will be expected to pull together detailed travel itineraries to specific manager requirements, sometimes across multiple time zones.
- Monthly planning and processing of travel and expenses for the group
- Prepares special reports or power point presentations as requested by team lead or his direct reports
- The role requires the job incumbent to be flexible and to carry out additional duties as requested that might not be included in this list of job responsibilities
Qualifications:
ESSENTIAL SKILLS:
- Experienced PA/Senior Administrator, with a proven track record providing a fully-fledged service to an extended functional team with global interfaces, ideally within a multinational environment
- Systems savvy (including MS Office Suite, SAP, CORE etc. or equivalent) coupled with strong organisational skills
- Excellent communications skills (written and verbal) including an innate ability to professionally deal with internal and external clients, across all levels
- Ability to multitask (manage several people/demands concurrently) and professionally
- Self-sufficient nature, ability to anticipate and prepare requirements for business meetings, trips etc. in advance
- Robust approach coupled with demonstrated initiative
- Flexibility to adapt to a constantly changing environment
