Responsibilities:

  • You will handle the day-to-day office administration.
  • You will perform a variety of administrative tasks and support our company’s senior level managers.
  • You will intensively coordinate received documents and communicate with team members and managers
  • Responsible for preparing correspondence, presentations and reports using various software packages
  • Perform critical review of presentations as well as design and coordination of various materials for presentations (slides, agendas, minutes, follow up, etc.)
  • Assist with special projects as required
  • Assist with calendar management, which will require interaction and coordination with internal/external executives and their assistants to coordinate complex meetings
  • Work closely with external partners, assistants, vendors and other stakeholders to schedule meetings or events
  • Prepare staffing org charts, management slide decks, memos, letters and spreadsheets as needed
  • Take notes on conference calls, prepare action plans based on notes and follow up on deliverables where required
  • Work with HR and coordinate interviews
  • Assis with new/returning employees setup and work with HR to on-board employees
  • Actively participate in managing Social Committee events to help foster a relaxed, fun and charitable culture
  • Prioritize and redirect mail and telephone calls as appropriate
  • Assist with booking and managing travel arrangements, itineraries or other duties related
  • Organize receipts and prepare expense reports
  • Provide full administrative support including photocopying, faxing, scanning, etc.
  • Perform other duties as required
