JOB DESCRIPTION

The Executive Assistant will support the Head of Indirect Procurement in general secretarial and administrative tasks. The working environment is a larger organization.

YOU’RE THE RIGHT FIT IF YOU HAVE THE FOLLOWING SKILLS AND EXPERIENCE:

  • Proven work experience of at least 5 years in an executive assistant role at a high level in a dynamic and international environment.
  • Flexible (adapting to fluctuating workload), able to multitask and work with deadlines.
  • Very discrete, structured, and accurate; you can handle information of a highly confidential and critical nature.
  • Pro-active and enthusiastic, willing to take initiative / ownership, feeling at ease in an international environment and knowing how to set priorities under high pressure.
  • Collaborative, strong communication, organizational, and planning skills.
  • Excellent verbal and written communication skills in English.
  • Skilled in Outlook calendar management.
  • Knowledge of working with various IT systems like Workday, Concur, Microsoft Teams etc.
  • Available to work on a full-time basis.

Responsibilities:

  • You arrange, coordinate, and prepare meetings, conference calls and other related events for the Head of Indirect Procurement.
  • You work closely and effectively with other assistants (within ICS but also businesses and region) to facilitate planning.
  • You independently process emails and advises on priorities.
  • You act as the link between internal and external business partners and the teams.
  • You take care of complex and detailed travel planning; you prepare itineraries, book flights/hotels, arrange transfers, confirm meetings. You manage all logistics in an efficient manner during the travels.
  • You ensure that your manager always has valid documentation for business travel: passport, visas, driving license, residence permit etc.
  • You take care of general secretarial/administrative matters for the Head of Indirect Procurement, like expense claims, people management related matters.
  • You organize team meetings and events
