QUALIFICATIONS

EDUCATION/CERTIFICATION: High school graduate or equivalent. Some college or additional related training is preferred.
REQUIRED KNOWLEDGE: Proficient in Microsoft Office including Word, Excel, Outlook, and PowerPoint.
EXPERIENCE REQUIRED: Previous experience in executive administration assistant-related work preferred. Previous experience with project management software is preferred. Proven ability to handle multiple projects including organizing tasks, resources, and timelines; understanding of project management fundamentals.
SKILLS/ABILITIES: Proficient typing skills. Ability to perform dictation and transcription tasks. Change management skills including the ability to drive change and adapt/respond to changes both inside and outside of the project or process. Good interpersonal and public relations skills. Solid analytical, creative, and problem-solving abilities. Project management skills and organization. Ability to work well independently.

PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

FINGER DEXTERITY: Using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together.
TALKING: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.
AVERAGE HEARING: Ability to hear average or normal conversations and receive ordinary information.
REPETITIVE MOTION: Movements frequently and regularly required using the wrists, hands, and/or fingers.
AVERAGE VISUAL ABILITIES: Average, ordinary, visual acuity necessary to prepare or inspect documents or products or operate machinery.
PHYSICAL STRENGTH: Sedentary work; sitting most of the time. Exerts up to 10 lbs. of force occasionally. (Almost all office jobs.)

MENTAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

REASONING ABILITY: Ability to deal with a variety of variables under only limited standardization. Ability to apply common sense understanding to carry out detailed but uninvolved instructions and to deal with problems involving a few variables. Ability to interpret various instructions.
MATHEMATICS ABILITY: Ability to perform basic math skills, use decimals to compute ratios and percents, and to draw and interpret graphs.
LANGUAGE ABILITY: Ability to read a variety of books, magazines, instruction manuals, atlases, and encyclopedias. Ability to prepare memos, reports, and essays using proper punctuation, spelling, and grammar. Ability to communicate distinctly with appropriate pauses and emphasis, correct pronunciation (or sign equivalent), and variation in word order using present, perfect, and future tenses.

Responsibilities:

POSITION PURPOSE

The Executive Assistant/Project Coordinator position is a hybrid role that is responsible for providing administrative support to the executive staff, coordinating various organizational projects, managing calendars, and preparing various reports and presentations. Records and distributes minutes from Board, executive, and manager meetings. Serves as liaison between the executive team and the Board of Directors. Performs and oversees specific projects and programs as assigned. Responsible for continually monitoring and providing assessment of the activities of designated projects and initiatives, communicating status updates, and responding proactively with appropriate recommendations to ensure the successful completion of each project.

5. ASSUMES RESPONSIBILITY FOR RELATED DUTIES AS REQUIRED OR ASSIGNED.

a. Performs special operations, manages special projects, and miscellaneous clerical tasks as assigned.
b. Ensures that the work area is clean, secure, and well-maintained.
