EXECUTIVE ASSISTANT TO NATIONAL GROUP MEDICAL DIRECTOR

DaVita, a Fortune 200 Healthcare Services leader in kidney care, seeks an exceptional Executive Assistant to support our National Group Medical Director (GMD) and two Group Medical Directors. This dynamic role offers unique exposure to clinical leadership and healthcare operations while providing crucial administrative support to key physician executives.

The ideal candidate combines strong administrative expertise with strategic thinking and proactive problem-solving skills. QUALIFICATIONS

Required

  • Proven track record as an Executive Assistant supporting senior leadership (VP, C-Suite, Senior Director)
  • Minimum 3 years’ experience in complex calendar management
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel)
  • Strong executive presence and professional communication style
  • High school degree required, Bachelor’s degree preferred

Responsibilities:

Calendar & Schedule Management

  • Orchestrate complex calendars across multiple time zones and stakeholder groups
  • Coordinate extensive travel arrangements (averaging 2+ days per week)
  • Manage high-volume meeting schedules including physician interactions, clinical reviews, and operational sessions
  • Proactively identify and resolve scheduling conflicts
  • Support flexible hours including occasional early morning or evening meetings

Administrative Excellence & Project Support

  • Maintain exceptional organization of documents, emails, and communications
  • Process expense reports and manage administrative documentation
  • Coordinate meeting logistics and material preparation
  • Prepare agendas, take detailed notes, and track action items
  • Support clinical initiatives, physician education events, and medical director onboarding

Strategic Communication & Relationship Management

  • Anticipate needs and resolve administrative challenges proactively
  • Maintain strong communication channels to ensure clear priorities
  • Build effective relationships with key stakeholders including:
  • Medical directors and physician partners
  • Senior Director of Clinical Services team
  • Palmer leadership teams
  • Office of Chief Medical Officer
  • Handle sensitive communications and confidential information with discretion
  • Keep GMDs informed of upcoming deadlines and deliverables
