Description:
We are offering a contract to hire employment opportunity for an Executive Assistant in Fayetteville, Arkansas. In this role, you will be at the heart of the office operations, providing comprehensive support to our executive team and ensuring the smooth running of our workplace. This position requires a high level of organization, attention to detail, and excellent communication skills.
Responsibilities:
- Manage and maintain executive schedules, ensuring efficient coordination of meetings, appointments, and travel arrangements.
- Prepare and edit various forms of correspondence, reports, and presentations as needed.
- Act as a key contact point between the executive team and both internal and external stakeholders.
- Oversee the day-to-day operations of the office, including managing supplies and equipment, and maintaining a professional environment.
- Handle confidential information with a high level of discretion and in accordance with security protocols.
- Organize and schedule meetings, including the preparation of agendas, minute-taking, and follow-up on action items.
- Coordinate logistics for meetings, such as room bookings and catering arrangements.
- Participate in cross-training for dispatching and customer service roles to provide support as needed and enhance team flexibility.
- Assist with special projects and initiatives as assigned by the executive team.
- Conduct research and compile data for reports and presentations, ensuring accuracy and timeliness.
In addition to these responsibilities, you will be expected to utilize various skills, including the Kronos Timekeeping System, About Time, Calendar Management, Communication, Conference Calls, and Correspondence.
- Must possess proficiency in Kronos Timekeeping System and About Time.
- Strong skills in Calendar Management are essential.
- Excellent Communication skills, both written and verbal, are required.
- Ability to manage Conference Calls efficiently.
- Experience in handling professional Correspondence is essential.
- Must have the ability to multitask and prioritize effectively.
- Strong organizational skills and attention to detail.
- Proven experience as an Executive Assistant or similar role.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in MS Office Suite, particularly MS Excel and PowerPoint.
- Bachelor’s degree or equivalent work experience in a related field is preferred.
- Ability to work independently and as part of a team.
- Demonstrated problem-solving skills and a proactive approach to work.
- Excellent time management skills with the ability to meet deadlines.
- Must have a professional demeanor and strong customer service skills.
- Ability to work in a fast-paced, dynamic environment.
