Description:
A venture capitalist firm in West LA is hiring an Executive Assistant on a direct hire basis. As the Executive Assistant, you will be supporting three executives including the Managing Partner. As the face of the office, the Executive Assistant will play a pivotal role in enhancing our office culture and maintaining a positive work environment.
QUALIFICATIONS & EXPERIENCE:
- Bachelor’s degree and a minimum of 5 +years of Executive Administrative experience
- Expertise with Google Workspace (gmail, google drive, calendar) and Office suite
- Creative, tech savvy and up to date with productivity apps and tools
This role is onsite, in office Monday- Thursday 9:00- 5:30pm and Friday 8:30 – 5:00PM. Salary is up to $130k, based on experience.
- Proven experience as an Executive Assistant or similar administrative role
- Proficient in the use of ADP - Financial Services
- Familiarity with Cisco Webex Meetings for organizing virtual meetings
- Experience with Concur for managing expenses
- Knowledge of CRM for managing customer relationships
- Experience with Kronos Timekeeping System and About Time for managing work hours
- Proven ability in Calendar Management
- Excellent Communication skills for both written and verbal interactions
- Ability to manage Conference Calls effectively
- Skilled in handling professional Correspondence

Responsibilities:
KEY RESPONSIBILITIES:
Manage the schedules of our partners by coordinating calendars, arranging internal and external meetings.
Take charge of arranging domestic and some international travel when necessary for our partners.
Handle financial documentation; processing and tracking invoices and receipts and submitting expense reports on behalf of partners.
Act as the first point of contact, managing the main phone line and greeting all our guests and clients.
Prepare meeting rooms, ensuring that guests are comfortable and well-settled, and all AV requirements are met.
Manage the upkeep of conference rooms, ordering and restocking kitchen and office supplies, maintaining an organized and well-stocked environment.
Handle the receipt and dispatch of correspondence including packages and mail.
Collaborate with other Executive Assistants in our Santa Monica office, synchronizing activities for a smooth flow of operations.
Take on ad hoc projects as needed from time to time.
