Description:

We are offering a contract employment opportunity for an Executive Assistant in Columbus, Ohio. This role is within an industry that requires comprehensive organization and meticulous attention to detail. As an Executive Assistant, you will provide essential administrative support, manage scheduling, and oversee customer relations.

Responsibilities:

  • Leads and coordinates administrative support functions for the department, mainly the Chief Regional Strategy Officer. Establishes and maintains timely and regular communication and effective working relationships with the Department Director and their peers.
  • Schedules meetings and assists with preparation for the meetings, including preparation of meeting rooms and meeting materials as well as receiving visitors.
  • Handles expense reports, filing of documents and records maintenance, keeping contacts up to date, and ordering office supplies.
  • Assists manager with contract preparation/review, project tracking, and routing.
  • Supports staff with committee and working group management by keeping rosters up to date, drafting appointment letters, preparing agendas, sending out meeting notices, and keeping minutes where needed.
  • Proofreads power point presentations, brochures, fliers, and reports.
  • Keeps department-related webpages up do date.
  • Provides administrative back-up for the agency when needed according to the agency’s Administrative Support Plan.
  • Participates in professional associations, conferences, and other professional development opportunities to maintain technical and subject matter expertise.
  • These duties are illustrative only and the Executive Assistant may perform some or all of these duties or other job-related duties as assigned
  • Proficiency in calendar management and scheduling appointments
  • Experience in confirming, coordinating, and following up on appointments
  • Ability to conduct phone screens and meetings
  • Proficiency in computer files organization
  • Experience in mail processing and paperwork processing
  • Proficiency in word processing and workflow processes
  • Experience in conducting customer meetings and facilitating virtual meetings
  • Ability to coordinate schedules and manage daily schedules
  • Experience in booking, setting, and rescheduling service appointments
  • Familiarity with upcoming appointments and schedule appointments.
