Description:

We are seeking an Executive Assistant based in San Francisco, California. The job function of this role includes providing full administrative support to the team, managing complex calendars, coordinating extensive travel plans, and handling confidential information with discretion. This role will be based in a hybrid workplace, offering a contract to hire employment opportunity.

Responsibilities:

  • Provide comprehensive administrative support to a team of executives.
  • Manage and maintain complex calendars, ensuring efficient scheduling and organization.
  • Coordinate extensive travel plans, including booking flights, accommodations, ground transportation, and creating detailed itineraries.
  • Anticipate and resolve travel-related issues, ensuring the smooth execution of travel plans and minimal disruption to executives’ schedules.
  • Prepare, edit, and manage correspondence, reports, and meeting agendas.
  • Screen and direct phone calls, emails, and other communications, ensuring relevant information is passed on promptly and accurately.
  • Conduct research and compile data for reports, providing valuable input to decision-making processes.
  • Handle confidential information with the utmost discretion, ensuring confidentiality at all times.
  • Liaise with internal and external stakeholders, fostering strong working relationships and promoting effective communication.
  • Coordinate and manage special projects and virtual meetings, ensuring objectives are met and tasks are completed efficiently.
