Description:

We are in the manufacturing industry, based in Charlotte, North Carolina, and are seeking an Executive Assistant to join our team. The individual will play a vital role in ensuring smooth operations within our team and effectively collaborating with various staff members. This role will involve handling a variety of administrative tasks, managing calendars, coordinating executive communications, and maintaining an organized filing system.

Responsibilities:

  • Foster effective collaboration among team members and with the President
  • Organize and manage meetings, including scheduling and ensuring all relevant details are communicated appropriately
  • Coordinate travel arrangements focusing on efficiency and cost, and prepare itineraries
  • Handle and organize paperwork and emails, ensuring timely response to incoming and outgoing correspondence
  • Uphold a strict level of confidentiality when handling sensitive materials
  • Maintain a professional image in the work area
  • Interface with clients, taking calls, and responding to emails
  • Coordinate events that take place outside the workplace
  • Maintain an organized filing system for paper and electronic documents
  • Review and manage expense reports, ensuring accuracy and timely submission.
  • Minimum of 5 years of experience in a similar role within the manufacturing industry
  • Demonstrable skills in Expense Reporting, Travel Coordination, and Calendar Management
  • Proven ability to Schedule Meetings.
  • Proficiency in using Concur for expense management
  • Expertise in Microsoft Office Suites for various administrative tasks
  • Excellent communication and interpersonal skills
  • Ability to prioritize tasks and handle multiple projects simultaneously
  • Strong problem-solving skills and ability to work in a fast-paced environment
  • High degree of professionalism and respect for confidentiality
  • Bachelor’s degree in Business Administration or related field is preferred
