Job Description:
Schreiber Foods is seeking a highly organized and proactive Executive Assistant to support our Senior Vice President and the European leadership team. The ideal candidate will be a detail-oriented professional with excellent communication skills, fluent in English, and with the ability to manage multiple tasks efficiently. This role requires a high level of confidentiality, discretion, and the ability to work independently. The Senior Vice President is responsible for our three sites in UK, Germany and South Africa.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the Senior Vice President, including managing calendars, scheduling meetings, and coordinating travel arrangements. Provide support to European leadership team for the coordination of business travels.
  • Communication: Serve as the primary point of contact between the Senior Vice President and internal/external stakeholders. Handle correspondence, emails, and phone calls with professionalism and efficiency.
  • Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and minutes. Ensure follow-up on action items.
  • Project Management: Assist in the planning and execution of special projects and initiatives. Track project progress and ensure timely completion.
  • Document Management: Maintain and organize important documents, files, and records. Ensure all documentation is up-to-date and easily accessible.
  • Event Planning: Coordinate and manage events, conferences, and business functions as required.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Office Management: Oversee office supplies and equipment, ensuring the office environment is well-maintained and efficient.
  • UK Payroll: Process the payroll for the UK site and assist with HR transactional administration.

Key Ingredientes:

  • Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Minimum of 3 years of experience as an Executive Assistant or in a similar role, preferably supporting senior executives.
  • Fluent in English and German. Spanish or French would be a plus.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, CoPilot) and tools such as kanban.
  • Ability to work independently and prioritize tasks effectively.
  • High level of professionalism and discretion.
  • Strong problem-solving skills and attention to detail.
