We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and managerial support to our executive team. The ideal candidate will be a self-motivated professional with excellent communication and problem-solving skills. The Executive Assistant will play a crucial role in handling the executive’s calendar, coordinating meetings and travel arrangements, and facilitating effective communication within the organization. The successful candidate will have a keen attention to detail, the ability to handle sensitive and confidential information, and the flexibility to adapt to a fast-paced and dynamic work environment.
This position will support two Vice Presidents within the Commercial organization of our clinical research business. Each Vice President has between six and ten direct reports within their respective teams, and while the role will mainly be to support the Vice Presidents, the role may also support various other members of the commercial team (Executive Directors, Alliance Directors, etc) as time permits. The commercial organization operates globally and in a matrixed fashion, with fluid priorities driven by both customer and financial commitments.

Responsibilities:

  • Efficiently manage the executive’s calendar, scheduling appointments, meetings, and travel arrangements.
  • Coordinate and organize meetings, including preparing agendas, taking minutes, and distributing relevant documents.
  • Facilitate effective communication between the executive and internal/external stakeholders, including clients, partners, and employees.
  • Prepare and edit correspondence, memoranda, reports, documents, forms, tables and presentations on behalf of the executive.
  • Conduct research and compile data to support decision-making processes.
  • Handle confidential and sensitive information with the utmost discretion and integrity.
  • Anticipate the executive’s needs and proactively address any potential issues or conflicts.
  • Monitor and prioritize incoming requests from the executive and other partners.
  • Assist with the organization and coordination of company events (both onsite and remote, including 3rd party contracts, catering and IT requirements) and special projects.
  • Undertake additional administrative tasks, such as filing, record-keeping, and expense management, as required.
  • Participates and coordinates with executive assistants in other business units to facilitate calendar management and work load balancing.

Education and Experience

  • High school/secondary school graduate or professional certification
  • Previous administrative experience (comparable to 2-6 years)
  • Or, an equivalent combination of education, training and experience that provides the knowledge, skills

and abilities to perform the job.

Skills

  • Good knowledge of company operations, policies and procedures.
  • Shown experience as an executive assistant or in a similar role is preferred.
  • Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong written and verbal communication skills, with a keen eye for detail and accuracy.
  • Proficient in Microsoft Office Suite and other relevant software applications.
  • Ability to maintain confidentiality and handle sensitive information with professionalism and discretion.
  • Excellent problem-solving and decision-making abilities.
  • Strong social skills, with the ability to establish relationships and communicate effectively with individuals at all levels.
  • Flexibility and adaptability in a fast-paced and dynamic work environment.
  • Ability to lead and provide task assignments and direction to other administrative or clerical personnel.
