Description:

A brand-new position within Thesleff Group has come about to provide support to the Founder. Thesleff Group operate Los Mochis Restaurant in Notting Hill and The City, Sale e Pepe in Knightsbridge and Viajante87 cocktail bar and lounge in Notting Hill.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar role supporting C-level executives.
  • Hospitality background is preferred.
  • Strong organisational skills with the ability to prioritise tasks and manage multiple projects simultaneously.
  • Excellent communication skills, both written and verbal, with a high level of professionalism.
  • Proficiency in Microsoft Office suite and other productivity tools.
  • Ability to work independently, take initiative, and problem-solve effectively.
  • Discretion and confidentiality in handling sensitive information and matters.
  • Flexibility and adaptability to changing priorities and fast-paced environments.
  • Strong attention to detail and accuracy in all tasks and communications.
  • Positive attitude, proactive mindset, and a willingness to go above and beyond to support the CEO and contribute to the business’s overall success

Responsibilities:

THE ROLE

The Executive Assistant will provide high-level administrative support to the Business Founder/CEO, managing their schedule, coordinating meetings and travel arrangements, and handling confidential information with discretion. You will plan and coordinate CEO’s workflow to ensure that the priorities are met, organisational goals are achieved, and best practices are upheld. Given the dynamic nature of the executive landscape, there will be a requirement to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

KEY RESPONSIBILITIES:

  • Manage the CEO’s calendar - scheduling meetings, appointments, and travel arrangements efficiently.
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives
  • Screen and prioritize incoming emails, phone calls, and correspondence for the CEO.
  • Prepare and edit documents, presentations, and reports on behalf of the CEO.
  • Coordinate and organise meetings, conferences, and special events, both internal and external.
  • Organize and prepare for meetings, including gathering documents and attending to the logistics of meeting.
  • Serve as the liaison between the CEO and internal/external stakeholders, maintaining professional relationships and ensuring effective communication.
  • Conduct research and provide background information for the CEO on various topics as needed.
  • Handle confidential and sensitive information with the utmost discretion and professionalism.
  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contacts database
  • Manage and track expenses, invoices, and reimbursements for the CEO.
  • Act as a representative of the CEO in their absence, handling inquiries and making decisions on their behalf when necessary.
  • Draft, review and send communications on behalf of company executive(s)
  • Maintain various records and documents for company executive(s)
