JOB SUMMARY
Our Client, an NGO in the media space seeks to employ a dedicated Executive Assistant who is ambitious and looking to develop their career in a high paced professional and globally minded work environment to work with the Managing Director.

- Experience Level : Senior level
- Experience Length : 5 years
REQUIREMENTS:
- Relevant degree from a reputable university. International degrees and training are an advantage.
- International exposure/global outlook, balanced with an understanding of the African business and economic environment.
- 5 – 7+ years in the professional services industry; experience in sales, bid, and proposal development an added advantage.
- Strong ability to build and grow an opportunity pipeline.
- Proven ability to establish and build client relationships and engage and grow a network of stakeholders.
- Strong proficiency in the use of relevant document processing and management software for documents, presentations, marketing, research, and analysis.
- Strong business acumen with excellent sales and negotiation skills.
- Strong project and people management experience.
- Excellent written and spoken English.
- Proficient in MS Office applications – Outlook, Word, Excel, PowerPoint.
- Self-starter who drives individual projects and takes ownership of outcomes.
- Willing to travel locally and internationally.
Remuneration: NGN 300,000 – 350,000 Gross (plus performance-related pay, training, and mentoring package, and other employee benefits)

Responsibilities:
- Work with the CEO to create an environment that promotes staff commitment to the achievement of the organization’s vision, mission, and strategy.
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists and making travel arrangements; and completing expense and mileage reports.
- Provide “gatekeeper” and “gateway” roles, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team.
- Complete projects by assigning work to appropriate staff, including the Executive Team on behalf of the CEO.
- Manage all aspects of the organization’s office services.
- Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as the organization grows.
- Assist in the selection of vendors and purchase equipment, services, and supplies necessary for the operation of the organization.
- Manage information systems operations including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning. Supervise IT consultants. Prepare budget recommendations.
- Other projects/duties as assigned for the overall benefit of the organization.
- Act as a liaison and provide support to the Board of Directors and Advisory Board.
- Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary.
- Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the CEO’s style and organization policy.
- Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Act as a “barometer,” having a sense of the issues taking place in the environment and keeping the CEO updated. Anticipate the CEO’s needs in advance of meetings, conferences, etc.
