5+ years of Executive level administrative experience preferred
Demonstrated initiative
Attention to detail and sound administrative aptitude

High computer proficiency

Exceptional communication skills (written and verbal)
Demonstrated effective organizational and resource management skills
Knowledge of the healthcare sector and/or the not for profit sector would be preferred

Responsibilities:
- Boards Committees, serving as Secretary to the Board.
- Manage and updating the corporate books for Pine River Institute.
- Serve as primary point of initial contact for all internal and external clients and stakeholders for the PRI Toronto Office and redirecting or resolving as appropriate.
- Plan and organizing logistics for PRI meetings and teleconferences, such as staff committees, stakeholder, Board and Board Committee meetings.
- Ensure effective and timely support of these meetings and teleconferences in taking minutes, preparing and distributing agendas and materials and organizing meeting facility and catering when applicable
- Prepare PRI CEO acting as the primary scheduler and ensuring access to materials for meetings and presentations.
- Organize travel for the CEO and other senior staff
- Track activity re: service contracts, legal matters, insurance, government relations and funding and information management for Pine River Institute.
- Act as the Office Manager for the Toronto Office; office supplies tracking and ordering, coordinating the office booking schedule, maintaining a welcoming environment for visitors, overseeing the filing system, managing keys and key cards and acting as the designated Fire Marshall for the office.
- Manage and track the reporting requirements and deadlines for Ministry of Health funding.
- Research, prioritize and follow up on multiple incoming issues and concerns, determining the appropriate course of action, referral and/or response.
- Oversee and coordinate the reporting and submissions for accreditation, ensuring Managers stay on track and are kept informed of program requirements
- Other projects as assigned
