THE ROLE AND WHAT WE ARE LOOKING FOR:
We are seeking an enthusiastic, self-motivated Executive Assistant to join our Public Health Team. This role will provide executive support to the Director of Public Health. The successful candidate will have proven experience of providing direct executive support at a senior level, with first class I.T. skills which will enable them to look for new ways to automate tasks and improve efficiencies to support the Director of Public Health’s immediate work and the wider Public Health Team. They will have the ability to manage themself and others, meet deadlines, identify, and set priorities; to use their own initiative, knowledge and experience to arrive at appropriate solutions to challenges.
The post holder will deal with a wide range of external and internal stakeholders so an exceptional level of communication skills, both verbal and written, and a positive, can-do approach is essential. The successful candidate will have highly developed interpersonal skills & the ability to deal with challenging situations with resilience, diplomacy and discretion whilst maintaining strict confidentiality.
YOUR ROLE WILL INVOLVE:
- Providing comprehensive and proactive assistance to the Director of Public Health across a range of tasks.
- Providing effective diary management; organisation of meetings, conferences, travel arrangements, managing conflicts as appropriate; effectively organising their time based on strategic priorities and corporate deadlines.
- Regular monitoring of inboxes to categorise and/or file, flag priorities, delegate, and action as appropriate.
- Facilitation of designated meetings; maintaining forward plans, producing agendas, circulating papers and taking minutes/managing action trackers.
- Using initiative to; assess and prioritise incoming requests and enquiries, deflect and/or signpost and/or delegate to others on the Director of Public Health’s behalf.
