Description:
- The Executive Assistant (EA) to the Director in Real Estate Development will provide high-level administrative and operational support to ensure the smooth and efficient running of the director’s daily responsibilities.
- This role requires a proactive and highly organized individual with a strong understanding of real estate development, business development, and project management.
- The ideal candidate will be able to manage multiple tasks, communicate effectively, and anticipate the needs of the Director while maintaining confidentiality and professionalism.
REQUIREMENTS
- First Degree in Business Administration, or a related field.
- 4-5 years of experience as an executive assistant preferably in real estate development or a related field.
- Familiarity with real estate development processes, industry terminology, and business development practices.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual meeting tools.
- Excellent verbal and written communication skills, with the ability to interact professionally with internal and external stakeholders.
- Strong organizational, time-management, and multitasking abilities; ability to prioritize and meet deadlines in a fast-paced environment.
- Proactive, resourceful, and capable of identifying issues and offering solutions.
- Exceptional attention to detail and accuracy in all aspects of work.
- Ability to handle confidential and sensitive information with discretion.
Responsibilities:
- Provide administrative support on calendar management, meeting arrangement & coordination, and travel arrangements.
- Draft, proofread, and edit correspondence, reports, presentations, and other documents as required.
- Manage and prioritize incoming emails, phone calls, and inquiries, ensuring timely responses and action on urgent matters.
- Support the Director in identifying and tracking new business opportunities in real estate development, including potential partnerships, acquisitions, and joint ventures.
- Coordinate and assist in preparing proposals, presentations, and contracts for prospective clients, investors, and stakeholders.
- Organize and coordinate internal and external meetings, including preparing agendas, taking meeting notes, and tracking action items.
- Assist in organizing high-level corporate events, such as presentations, site visits, and investor meetings. Representing the Director in such meetings.
- Serve as a liaison between the Director and internal/external stakeholders, including investors, clients, developers, and governmental bodies.
- Monitor and report on industry trends, competitive landscape, and market conditions relevant to real estate development opportunities.
- Assist in coordinating and tracking key real estate development projects, ensuring timelines, milestones, and deliverables are met.
- Prepare and maintain project documentation, ensuring it is up-to-date and accessible.
- Assist in managing relationships with key business partners and clients, ensuring consistent and professional communication.
- Track and assist with the preparation of budgets, expense reports, and financial documentation related to business development and project activities.
- Handle sensitive information with discretion and maintain confidentiality in all aspects of business dealings.
