Description:

OVERVIEW

We are seeking a highly organized and proactive Executive Assistant to support our CEO. This role is essential in ensuring the smooth operation of the executive office and requires a blend of administrative expertise, exceptional communication skills, and a strong ability to manage multiple tasks efficiently. The ideal candidate will be detail-oriented, possess excellent phone etiquette, and have a solid understanding of office systems.

REQUIREMENTS

  • Proven experience as an administrative assistant or in a similar role, preferably supporting senior executives.
  • Proficiency in Google Suite applications (Docs, Sheets, Drive) and familiarity with phone systems.
  • Strong organizational skills with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills with a focus on phone etiquette.
  • Experience with data entry and maintaining accurate records is essential.
  • Knowledge of DocuSign or similar electronic signature platforms is preferred.
  • A customer service-oriented mindset with the ability to interact professionally with various stakeholders.

Responsibilities:

  • Provide comprehensive administrative support to the CEO, including managing schedules, appointments, and travel arrangements.
  • Handle incoming communications, including phone calls and emails, ensuring timely responses and appropriate follow-up.
  • Maintain organized records and files using Google Suite and DocuSign for document management.
  • Assist in data entry tasks and maintain databases to ensure accurate information is readily available.
  • Prepare reports, presentations, and correspondence as needed for meetings and projects.
  • Coordinate logistics for meetings, including setting up conference calls and preparing meeting materials.
  • Foster positive relationships with clients and stakeholders through exceptional customer service.
  • Support various office functions as needed while maintaining a professional office environment.
