JOB DESCRIPTION:
As the Executive Assistant to the CEO, you will play a critical role in managing the CEO’s day-to-day activities, ensuring smooth operations, and enabling the CEO to focus on driving the company’s mission. You will handle everything from complex scheduling and communication management to travel coordination and project support. If you’re an experienced PA who excels in a fast-paced, international environment and has a passion for AI and IoT, this role is for you!
QUALIFICATIONS:
- 5+ years of experience as a Personal Assistant or Executive Assistant, ideally in a mature startup/scale-up or fast-growing company.
- Fluency in English and German (both written and spoken) is essential.
- Proven ability to work in a fast-paced, international environment, managing multiple time zones and shifting priorities.
- Strong organizational and multitasking skills, with the ability to remain calm under pressure.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Experience with international travel management and complex scheduling.
- Previous experience working with C-suite executives, with a clear understanding of high-level stakeholder management.
- Ability to work independently and adapt quickly to changing business needs.
- Strong interpersonal skills, able to communicate effectively with diverse teams and cultures.
- A professional and discreet approach, maintaining confidentiality and tact at all times.

Responsibilities:
- Executive Support: Provide high-level administrative support to the CEO, including managing complex schedules, prioritizing tasks, and ensuring seamless day-to-day operations in a fast-paced, evolving environment.
- Communication Management: Act as a liaison for the CEO by managing email inboxes, calls, and correspondence in both English and German, ensuring clear, professional communication across internal and external stakeholders globally.
- Meeting Coordination: Organize and coordinate meetings across different time zones, prepare agendas, take detailed minutes, and follow up on action points. Assist the Chief of Staff with the preparation of presentations and reports for board and leadership meetings.
- Travel & Event Planning: Handle international travel arrangements, including flights, accommodation, and ground transport, while being flexible with last-minute changes. Assist in organizing executive off-sites and workshops.
- Project Management: Support CEO-led projects by tracking progress, collaborating with different teams, and ensuring deliverables are met within deadlines.
- Administrative Tasks: Manage expense reports, maintain digital and physical filing systems, process invoices, and ensure administrative efficiency.
- Stakeholder Liaison: Be the primary point of contact for the CEO with key stakeholders, including investors, board members, and international partners, maintaining a professional and proactive approach.
- Document Preparation: Draft and edit documents, presentations, and reports in both English and German, ensuring accuracy and alignment with the CEO’s vision.
- Confidentiality & Discretion: Handle sensitive information with the highest level of confidentiality, displaying discretion at all times.
