We are currently seeking a proactive, highly organised, and detail-oriented Executive Assistant to join our team and provide comprehensive administrative and executive support to our CEO. In this pivotal role, you will manage a wide range of responsibilities, ensuring seamless day-to-day operations and contributing to the overall efficiency of the firm.

SKILLS AND EXPERIENCE

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar role, to a senior executive
  • Educated to degree level or equivalent
  • Exceptional organisational skills and the ability to multitask in a fast-paced environment
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently, handle confidential information, and meet deadlines
  • A proactive approach with the ability to anticipate needs and manage competing priorities
  • Flexibility to travel internationally on a regular basis, often at short notice and for long periods
  • Experience within a legal environment is advantageous but not essential
  • Fluency in Spanish desirable

Responsibilities:

  • Executive Support: Provide high-level administrative and executive support to the CEO, including managing complex diaries, coordinating meetings, and organising travel arrangements (domestic and international), ensuring seamless scheduling and time management.
  • Meeting Coordination: Plan, prepare, and coordinate high-level meetings, including preparing agendas, attending meetings to take minutes, and following up on action points. Ensure the CEO is fully briefed and prepared with all necessary documents and materials for meetings.
  • Document Management: Draft, format, and review legal documents, presentations, and reports on behalf of the CEO. Maintain and organise electronic filing systems to ensure efficient retrieval of documents and records.
  • Communication Liaison: Act as a first point of contact, screening incoming calls and emails, prioritising communication, and responding or delegating as necessary. Draft emails and other communications on behalf of the CEO and maintain professional correspondence with internal and external stakeholders.
  • Travel and Event Management: Coordinate all aspects of travel and accommodation for the CEO including preparing detailed itineraries and handling last-minute changes. Assist in the organisation of internal events, client functions, and leadership off-sites.
  • Confidentiality and Discretion: Handle sensitive and confidential information with the utmost discretion, ensuring compliance with legal and professional standards at all times.
  • Project Management: Assist the CEO in tracking progress on key projects and initiatives, following up on deadlines and providing status updates to ensure timely execution of tasks.
  • Relationship Management: Liaise with senior management, clients, partners, and other stakeholders, ensuring smooth communication and maintaining strong professional relationships on behalf of the CEO.
  • Administrative Oversight: Proactively manage the CEO’s calendar, ensuring a balance between meetings, work time, and strategic priorities. Anticipate the CEO’s needs, prioritising tasks and supporting day-to-day activities to optimise efficiency.
  • Event Coordination: Assist with the planning and execution of firm-wide initiatives, office events, and leadership meetings. Manage logistics, guest lists, and materials to ensure all events run smoothly.
  • Ad-hoc Support: Provide additional administrative support as needed, including handling expense reports, processing invoices, and assisting with other operational tasks across the business.
