Job Purpose:
We are looking for an experienced Executive Assistant to join our operations team in Waterloo, ON. Reporting to the CEO the Executive Assistant will provide executive support to the CEO while also serving as the primary corporate administrator for the VueReal Waterloo, ON Office. The Executive Assistant must be creative and enjoy working within a start-up, entrepreneurial environment. The ideal candidate will have the ability to exercise good judgement in a variety of situations, with strong written and verbal communication, administrative, organizational skills, and the ability to maintain a realistic balance among multiple priorities.

YOUR Day-to-day Responsibilities:

  • Primary Liaison for the CEO: Serve as the key point of contact for the CEO, effectively managing communications and fostering strong relationships with stakeholders at all levels. Your role will be crucial in ensuring that the CEO is well-informed and effectively supported in all strategic initiatives.
  • Confidentiality and Sensitivity: Handle sensitive and confidential information with the utmost discretion. Your ability to maintain confidentiality will be essential to protect both the CEO’s agenda and the organization’s interests.
  • Critical Thinking and Problem Solving: Utilize your critical thinking skills to analyze complex situations and apply relevant theories and concepts to tackle a diverse range of challenges. Your insights will contribute to informed decision-making at the executive level.
  • Leadership in Relationship Building: Demonstrate leadership by cultivating and maintaining relationships that are vital to the organization’s success. Your ability to connect with colleagues and stakeholders will facilitate collaboration and reinforce a strong organizational culture.
  • Comprehensive Administrative Support: Provide top-tier administrative support to the CEO, which includes managing an efficient schedule, organizing and coordinating multi-party meetings, and ensuring all logistical aspects are seamlessly handled. You will prepare meeting agendas and necessary support materials to ensure productive discussions.
  • Creation of Presentation Materials: Develop and refine high-impact presentations for internal and external stakeholders. Transform complex data into engaging, visually appealing formats that effectively convey key messages and support strategic goals.
  • Documentation Preparation and Management: Prepare, modify, and manage a variety of critical documents, including legal and banking materials, internal reports, HR documents, correspondence, and memos. Your attention to detail will ensure accuracy and professionalism in all communications.
  • Facilitating Communication Across Departments: Act as a bridge for smooth communication between the CEO and various internal departments. Your leadership will help maintain credibility, trust, and support among senior management, ensuring alignment in achieving organizational objectives.
  • Project Management: Assist in the management of special projects and strategic initiatives, coordinating resources, timelines, and deliverables. Your organizational skills will ensure that projects are completed on time and align with the company’s strategic vision.
  • Additional Responsibilities: Embrace all other duties as assigned, demonstrating flexibility and a willingness to take on new challenges as they arise within the dynamic environment of the organization.

TOOLs/Skills you need for your role:

  • 5+ years previous senior executive administrative experience supporting the CEO and other company executives
  • A bachelor’s degree in business administration, Management, Communication, or a related field is often preferred.
  • Advanced computer skills – proficient in Word, Excel, PowerPoint, Outlook, Google Docs/Sheets and the ability to proactively manage Calendar
  • Bachelor’s degree preferred
  • Willing to lead projects and take initiative in areas where deficiencies are noted
  • Able to work in a highly organized manner where detail, accuracy, urgency, confidentiality and discretion are critical with minimal supervision
  • Works well under stress and/or with tight timelines
  • High level of oral and written communication
  • Strong work ethic, trustworthy and a team player
  • Superior organization and administrative skills
  • Must have a valid driver’s license and the ability to travel to local banks for errands
  • Understanding of HR related regulations
