JOB SUMMARY:

New Riff Distilling is seeking an organized and proactive Executive Assistant to support the Chief Sales Officer (CSO) in managing the overall sales strategy. The ideal candidate will provide essential administrative support and assist with day-to-day operations, allowing the CSO to focus on driving growth and managing relationships across the company’s distribution and direct-to-consumer channels.
This is a full-time, in office, salaried position, generally working 40-45 hours per week, Monday-Friday. Our benefits package is comprehensive, featuring 100% company-paid medical, dental, vision (with 100% employer-paid family benefits), life insurance, 2 weeks paid vacation, flexible sick and personal days, 401K. Salary range $55,000-$62,000 depending on experience.
This role does not require experience in the spirits industry but calls for a highly organized individual who can manage multiple priorities and handle confidential information with discretion.

QUALIFICATIONS AND EXPERIENCE:

  • 3-5 years of experience in an administrative or executive assistant role.
  • Exceptional organizational skills with the ability to manage multiple projects and priorities simultaneously.
  • Strong written and verbal communication skills, with an emphasis on professionalism and clarity.
  • Expert proficiency in Google Suite of Apps – Calendar, Gmail, Drive.
  • Experience with calendar management.
  • Proficient in basic math and Microsoft Excel – ability to build basic tables, functions, and charts, and understand percentages and visual presentation of data.
  • Ability to handle confidential information with integrity and discretion.

PREFERRED QUALIFICATIONS:

  • Prior experience supporting senior executives in a dynamic, fast-paced environment.
  • Strong time management skills and attention to detail.
  • Ability to anticipate the needs of the CSO and take initiative.

Responsibilities:

  • Administrative Support: Manage the CSO’s calendar, schedule meetings, and prepare documents, presentations, and expense reports.
  • Meeting Preparation & Coordination: Prepare agendas, organize materials, and coordinate logistics for meetings with internal teams and external partners. Take meeting minutes and follow up on action items as needed.
  • Document & File Management: Organize, maintain, and update digital and physical files to ensure quick and easy access to important information.
  • Expense Tracking & Budget Assistance: Assist with managing expense reports and tracking budgets related to the CSO’s projects and travel. Prepare and submit reports on behalf of the CSO.
  • Task & Project Tracking: Assist in organizing and tracking tasks, deadlines, and projects to ensure that key initiatives are on schedule and aligned with company goals.
  • Travel Coordination: Arrange travel itineraries, including flights, accommodations, and ground transportation. Prepare detailed travel itineraries and handle any changes or issues that arise.
  • Office Management Support: Assist in managing office supplies, coordinating vendor services, and ensuring smooth day-to-day office operations where necessary.
  • Vendor & Partner Communication: Serve as a point of contact for external partners, accounts, and distributors, ensuring professional communication and relationship management.
  • Communication & Correspondence: Communicate regularly with a wide range of staff, customers, board members, and partners via phone, email, and paper correspondence, ensuring professionalism and clarity in all interactions.
  • Problem-Solving & Independence: Work independently with minimal supervision, solving problems and reacting to urgent situations with appropriate levels of urgency. Manage tasks within deadlines and priorities.
  • Comfort with Variety: Handle a wide variety of daily tasks, from preparing conference rooms and outside communication to independent research projects.
  • Confidentiality Management: Handle sensitive information, such as pricing strategies, contracts, and personnel matters, with the highest level of confidentiality.
