Under the direction of the Superintendent, the Executive Assistant coordinates the day-to-day operation of the office by performing a broad range of administrative services and operational support in effort to ensure effective and efficient operation of the department.
We are seeking candidates with strong interpersonal and critical thinking skills and the ability to remain professional at all times while responding to clientele inside and outside of the school board. This role is a great fit for someone who enjoys working on a variety of duties simultaneously, is excited about bringing new ideas and supporting new ideas and initiatives. The successful candidate will be able to learn about the Boards values and work independently as well as with a team. This person will have a strong work ethic demonstrating pride in, and accountability for, the quality of their work.

QUALIFICATIONS OF THE IDEAL CANDIDATE INCLUDE:

Secondary diploma or degree in a related field (Finance, Accounting, Business Administration, Office Administration or similar).
5 years of related experience.
Superior communication, interpersonal and organizational skills with the ability to interact with diverse audiences.
Meticulous attention to detail in handling sensitive information, reports, and data.
Initiative, discretion, confidentiality and good judgment in handling sensitive matters.
Proven time management skills and ability to multitask
Individuals who possess an equivalent combination of education and experience may also be considered.
Any of the following qualifications will be considered an asset:
Proven experience in collaborating with and facilitating community engagements and partnerships with equity-deserving or Indigenous communities.
Knowledge of the Equity, Diversity, and Inclusion Framework and the Indigenous Education Framework specific to the OCSB.
Lived experience as a member of Indigenous or other under-represented communities.
Strong proficiency with applications including, but not limited to, Sparkrock, ATE, Google Suite (Docs, Sheets, Gmail, Slides, Sites, Calendar, etc.), and Excel (including Pivot Tables).
This is a full time (1.0 FTE) permanent position with an annual salary range of $64,893 - $73,339. The anticipated start date of this position will be September 3, 2024. A comprehensive employee benefits and pension package is also provided.

Responsibilities:

Organize, compile and manage information relating to various functions within the department
Track and maintain departmental budget and spending, prepare budget updates/reports and payment requisitions as required
Prepare data for various reports and summaries and complete statistical reports
Assist in the preparation of memos and letters
Attend meetings at the request of the Superintendent, prepare agendas and take meeting minutes
Help to maintain partnerships with internal and external stakeholders
Respond to inquiries and direct to the appropriate person or department as required
Assist in organizing department initiatives, meetings and events such as board and community outreach events, etc.
Contribute to a positive team environment
Facilitating and performing other duties, as assigned by the Superintendent
Working some evenings based on the Superintendent’s portfolio and departmental functions or events
