POSITION SUMMARY:

The Executive Assistant is responsible for a variety of supporting roles for the Vice President, Compliance and Equity Officer and Administrative Hearing and Compliance Programs Coordinator. This position represents CU System Administration to university constituents and the general community, in a professional and knowledgeable manner. This position requires an understanding of how policies and procedures are implemented in a university-based compliance office, or past experience in a comparable administrative or legal setting. This role will primarily support the Vice President with maintaining schedules and priorities, as well as supporting additional offices and staff by providing office support.
The Executive Assistant reports to the Vice President and is exempt from the State of Colorado Classified Staff System.

PREFERRED QUALIFICATIONS:

  • Six (6) years’ experience working in an office setting, as indicated above
  • Familiarity with higher education
  • Familiarity with University of Colorado
  • Familiarity with CU Marketplace, Concur, HCM, CU-SIS

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge and understanding of higher education systems and shared governance.
  • Collaboration skills, including the ability to work with others from different areas and backgrounds to reach a common goal
  • Computer skills, including the ability to use Microsoft Office programs (i.e. Word, Excel, PowerPoint, Outlook) and learn and experiment with new software and systems

  • Oral, written, and listening communication skills, including the ability to accurately interpret what others are saying and convey messages, information, concepts, and details accurately and clearly

Responsibilities:

DUTIES & RESPONSIBILITIES:

Duties and responsibilities of the position include, but are not limited to:

Support Vice President

  • Maintain the VP’s calendar and schedules appointments, presentations and meetings and assist in document preparation for the VP
  • Manage and coordinate communications to and from VP and determine response or referral
  • Exercise utmost discretion, diplomacy and professionalism in all matters, especially those involving confidential or sensitive information
  • Coordinate and complete all travel arrangements and expense reports on behalf of the VP

Support Hearings Process

  • Assist Compliance and Equity Officer and Administrative Hearing Coordinator with hearing tasks as needed
  • Serve as backup hearing administrator
  • Record retention in database and server files

Office Support/other duties as assigned

  • Play an integral role in the successful execution of a variety of special projects by providing support and logistics coordination
  • Manage administrative functions, recommending and implementing procedural changes to improve operations.
  • Purchasing and procurement of office supplies etc.
  • Other duties as assigned

  • Bachelor’s degree from an accredited institution of higher education, or equivalent professional experience (professional experience may be substituted for the educational requirement on a year-for-year basis)
  • Four (4) years’ experience working in an office setting providing administrative support to a department and/or manager or director
  • Experience supporting administrative/executive level staff
  • Travel and schedule requirements (if applicable)
