Job Title: Executive Assistant
Location: Ville Saint-Laurent, QC
Position Type: Full-time, In-Office
Salary: $60,000 - $65,000 per year (with an annual bonus after 1 year of service)
POSITION OVERVIEW
We are seeking a proactive and adaptable Executive Assistant who embodies a unique blend of administrative expertise, bookkeeping skills, and executive support abilities. This is a key role with diverse responsibilities, requiring someone with exceptional organizational skills and a problem-solving mindset who thrives in a team-oriented environment. The ideal candidate should have a friendly personality, be highly collaborative, and display a “go-getter” attitude.
QUALIFICATIONS
- Experience with QuickBooks (an asset, though not mandatory).
- Strong Communication Skills in English (spoken and written). You will be dealing with 100% US Clientele.
- Ability to travel to the U.S. up to 4 times per year for events. (Must be allowed to travel into the USA without prior visa issued)
- Proven ability to work autonomously yet collaboratively in a close-knit environment.
- Attention to Detail and Problem-Solving Skills with a proactive, “can-do” attitude.
- Somewhat tech-savvy and comfortable working with a team of tech professionals.
Responsibilities:
- Executive Support: Provide executive-level assistance to management, ensuring smooth daily operations and acting as a reliable point of contact within the company.
- Bookkeeping: Assist with invoicing, processing bills, preparing expense reports, and managing simple accounts payable/receivable for a small number of clients and transactions.
- Administrative Duties: Oversee expense tracking, coordinate logistics, and shipping, and support travel arrangements between U.S. and Canadian offices.
- Event Coordination: Attend U.S. based conferences about four times a year (sometimes at only 2 weeks’ notice), facilitating coordination between the Canadian and U.S. teams and putting boots on the ground at conferences to ensure smooth operations.
- Tech & Problem-Solving: Support the tech-savvy team by being resourceful, adaptable, and capable of troubleshooting issues as they arise.
