EXPERIENCE: 5+ YEARS OF EXECUTIVE SUPPORT EXPERIENCE, IDEALLY WITHIN A FAST-PACED CORPORATE ENVIRONMENT, WITH PRIOR EXPERIENCE SUPPORTING C-SUITE EXECUTIVES.

  • Education: Bachelor’s degree preferred; additional certifications in administrative support or project management are an advantage.
  • Multilingual Skills: Proficiency in English is required, with additional language skills highly valued.
  • Organizational Excellence: Exceptional time management and organizational skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines.
  • Communication Skills: Strong written and verbal communication skills in multiple languages, with an emphasis on professionalism and clarity.
  • Technical Proficiency: Proficiency in MS Office, Google Workspace, and other productivity tools; comfortable with new technology platforms.
  • Discretion & Integrity: High level of discretion in handling sensitive information, with a commitment to ethical conduct.
  • Adaptability: Comfortable working in a dynamic environment with changing priorities; proactive, self-motivated, and detail-oriented.

Responsibilities:

  • Executive Support: Provide high-level administrative assistance, including managing appointments, coordinating meetings, and handling travel arrangements for the CEO and management team.
  • Liaison Role: Act as a point of contact between the management team and internal/external stakeholders, ensuring clear communication, timely follow-ups, and effective relationship management.
  • Correspondence Management: Screen, prioritize, and handle incoming calls, emails, and correspondence on behalf of the management team, responding or redirecting as appropriate.
  • Engagement Coordination: Organize and coordinate both professional and personal engagements, including meetings, events, and social commitments, with meticulous attention to detail.
  • Confidentiality & Discretion: Handle sensitive information with the utmost discretion and professionalism, safeguarding all proprietary and personal data.
  • Document Preparation & Translation: Prepare, review, and translate documents and presentations in English, and a second language as needed, ensuring accuracy and professionalism.
  • Travel & Accommodation Arrangements: Book tickets, reserve accommodations, and manage relationships with hotels and service providers to ensure a seamless experience for the management team during travel.
  • Research & Reporting: Assist with research, reporting, and special projects, providing analysis and administrative support as required.
  • Personal Task Coordination: Help coordinate personal tasks and requirements to optimize the management team’s time and enhance productivity.
