SUMMARY OF EXPERIENCE

  • 2+ years executive assistant or administrative support experience

REQUIREMENTS:

  • College degree
  • Previous experience working in a professional services firm an asset
  • Demonstrated ability to work well independently and under pressure in a fast paced environment
  • The ability to work well both independently and in a team environment
  • Strong oral and written communication skills (including strong spelling, grammar, editing, proof-reading, and punctuation skills).
  • Strong organizational skills and the ability to prioritize multiple responsibilities
  • Experience working with TaxPrep and CRA is an asset
  • Advanced knowledge of MS office applications

Responsibilities:

  • Coordinate/setup meetings/conference calls and type minutes when requested
  • Screen phone calls and take messages
  • File, photocopy, scan
  • Prepare banking
  • Type and format letters
  • Prepare timesheet for Partner(s) and enter into the Time and Billing software
  • Assist with billings and collections, setup new client and prepare new client acceptance forms
  • Assist with processing expenses
  • Make travel arrangements including flights, transportation, hotels, team communications, and assisting with arranging meals and completing concierge-type errands
  • Filing of T1, T2, T3 and T4/T5 returns
  • Prepare registered mail
  • Prepare couriers

Assist with client relations, perform tasks such as:

  • Request year end information from clients
  • Prepare year end/tax packages for clients
  • Track status of various financial statements, tax returns and other filings and work with managers to ensure all filings are completed on timely basis
  • Register clients with CRA
  • Contact CRA on behalf of clients
  • Other duties, as required
