Description:

Are you an excellent planner and organizer? We’re hiring an executive assistant to provide administrative support to the team lead and help us achieve our organizational goals. Your role is key to ensuring plans are made, schedules are set, meetings happen on time, and files are neatly organized and up-to-date. Ideal candidates are proactive, love diving into projects, working with others, and are interested in playing a big role in the vision of our organization. $60,000Responsibilities:

  • Screen incoming information from messages, phone calls, voicemails, memos, and emails, compile information, and report to an executive
  • Perform basic bookkeeping duties
  • Act as the main point of contact the high-level executive
  • Manage schedules including itineraries, travel arrangements, and team meetings
  • Other assistant duties as assigned from executives such as pick up orders, and other personal assistant tasks

The role will include (but not limited to) helping their leader with:

  • Email organization, calendar management, and travel booking/itinerary.
  • Personal and professional appointment scheduling and management.
  • Some computer tasks—e.g., CRMling calls with incoming prospects across multiple companies, scheduling calls with active clients across multiple companies, adding notes and action items to client portals, transferring information between systems, updates, schedule social media management activity.
  • Tasks associated with quarterly initiatives (I.e., special projects).
  • Must know how to manage an Outlook calendar, tasks via Asana Outlook, and Gmail boxes with the organization.
  • Misc errand running and management.

Must be comfortable around animals (dogs and cats).Qualifications:

  • 2+ years performing supportive duties in a personal assistant or executive assistant role, or similar
  • Experience using Microsoft Office
  • Strong organizational skills, communication skills, time management skills, and interpersonal skills
  • Must have graduated high school or received an equivalent certificate of completion
  • Experience handling confidential information and adhering to strict deadlines
  • Someone who thrives in a high-paced, high-expectation environment.
