Description:
HOURS: 40 Full-time, Non-Exempt
RATE: $27 + DOE (Depending on Experience) + $.50 Bilingual Incentive with Certification
QUALIFICATIONS
Bachelor’s degree or equivalent experience. Must have social service, project design/management, creative and
persuasive writing experience. Computer literate, comfortable with digital communication platforms, advanced Microsoft
Office, Word, Excel, and database applications preferred. Personal or executive assistance experience preferred. Excellent
written and verbal communication skills required. Ability to interact with diverse population in all levels of the
organization. Must be able to create solutions with minimum supervision. Able to handle sensitive information and
maintain confidentiality at all times. Must be able to organize and multi-task. Successful background and criminal
clearance required and maintained, including but not limited to California Department of Justice (DOJ), Federal
Bureau of Investigation (FBI, Child Abuse Index and Department of Motor Vehicles (DMV). Proof of a valid California
Driver’s License, reliable transportation, proof of automobile insurance (listed as covered), pass and maintain driving
approval as required by our insurer. Bilingual Spanish preferred
Responsibilities:
Essential responsibilities and duties may include but are not limited to the following:
1. Provides a wide variety of skilled administrative, planning and clerical support for the Executive Director and
Officer Team. Responsibilities involve exposure to confidential/sensitive information and require considerable use of tact,
diplomacy, discretion and judgment. Coordinates contacts, phone calls, correspondence, electronic signatures,
and notifications of the office. Creates email follow up content that is compelling, clear, accurate and in the
style of the Executive Director.
2. Attends Board and selected meetings as needed to take, transcribe and distribute minutes along with action items
and/or follow up assignments. Converts meeting content into plans with follow ups to key partners or staff.
Creates and/or assembles charts, committee board rosters, notebooks, event binders and coordinates meeting
logistics as needed.
3. Organize project plans, monitor progress, compose correspondence for follow ups, next steps and maintain
timelines. Organize and edits monitoring systems as needed, organizational charts, management rosters, and
weekly data reporting.
4. Supports effective working relationships with board members, donors, vendors, volunteers, government and
foundation representatives and others to nurture their connection to the organization and portrays a positive
image of the agency. Is a point of contact for internal/external contacts as needed and may respond on behalf of
the Executive Director when so designated.
5. Proofs written communication materials and creates presentations as needed. Creates templates, keeps things
organized for Executive Director. Maintains calendar, contact follow up systems, prepares materials in advance
for meetings, manages email and filing systems, makes travel arrangements.
6. Other duties as assigned.
