Description:
Johnson & Johnson is recruiting for an Executive Business Support professional to join our team located in Raritan, NJ. Additional consideration will be given to our New Brunswick, NJ location. This position may require up to 10% travel.
Per our J&J Flex Policy, the expectation for this position is to work in the office 3-4 days per week and work from home 1-2 days per week.

We are seeking a highly motivated and organized individual to join our team as Executive Business Support professional. This role will be responsible for providing comprehensive executive administrative support to the Chief Information Security Officer and their organization, including assisting with the coordination of various initiatives within the department. We are looking for someone who is passionate, energetic, agile and exhibits a high degree of professionalism while demonstrating a clear communication style. The selected candidate will anticipate the needs of the team they support, help them stay focused, resolve issues before they arise, and go the extra mile as needed. This position will also partner with other leaders and their administrative staff within the JJT organization. Role requires solid organization skills, the ability to work successfully in a matrixed environment, build and maintain relationships at all levels, handle various duties with appropriate prioritization and an ability to problem solve and learn new skills effectively.
Responsibilities:
- Provide executive administration and business support to Chief Information Security Officer.
- Proactively manage and maintain the schedule for the CISO, including calendar management, travel arrangements (domestic and international), and meeting coordination. Ability to take a strategic approach to calendar management leveraging data to maximize productivity
- Support CISO travel by booking meeting spaces in remote locations (office in NJ, other campuses, and external locations)
- Contribute to organizational operations with guidance and alignment of ISRM Management Support Lead
- Identify opportunities to integrate innovative methods to increase organizational efficiency and effectiveness
- Support continuous improvement efforts for the organization’s administrative strategy
- In collaboration with other team members, manage special projects and events for the Leadership Team including coordinating conference room reservations, catering requests and travel arrangements for complex group meetings as needed
- Effectively build internal network and foster a positive and collaborative work environment with the administrative teams across JJT and the Enterprise
- Prepare agendas and materials for executive meetings. Assist in the preparation of meetings, including agenda creation, meeting minutes, and follow-up on action items.
- Coordinate and assists in developing, compiling, and processing associated business reports and preparing analysis and presentations (as required) by the CISO
- Identify and anticipate organization and executives’ priorities to support prioritization of tasks and events,
- Ability to perform in a fast-paced environment and adapt to dynamic shifting priorities
- Identify alternative courses of action with risks and opportunities for each
- Represent the organization to visitors, act as the point of contact on behalf of the team when hosting meetings or visitors while they are onsite including greeting constituents/guests and assisting with needs as they arise
- Collaboration with all company departments and outside agencies
- Successfully complete all department and enterprise mandatory trainings on time
- Prepare, reconcile and submit expense reports in Concur in a timely manner in compliance with company and department policy
- Manage confidential business documentation: emails, correspondence, files, and documents with the highest level of professionalism
- Handle various duties and special projects, including reviewing and proofreading, with appropriate prioritization and an ability to problem-solve and learn new skills
- Assist with the creation of high-level presentation and communication materials
- Actively stay informed of company policies, procedures, and guidelines relevant to the functioning of the department and provide guidance of such to applicable staff
- Apply J&J Credo and Leadership imperatives in day-to-day interactions across the team and Enterprise.
- Provide backup support to other Administrative Assistants as required
- Fulfill other tasks or duties set by direct manager for Cybersecurity organization
QUALIFICATIONS
Required:
- A minimum of an associate’s degree or 8 years of proven Executive Administrative experience supporting Senior Executive Leadership, preferably C-Suite
- Previous experience as an executive assistant or in a project management role, preferably within the pharmaceutical, healthcare industry, or other highly regulated business environment
- Advanced Proficiency in MS Office Suite: Outlook, Excel, Word, PowerPoint and working knowledge of SharePoint
- Comfortable with technology to gain advanced proficiency quickly in the following: SAP Ariba, SharePoint, Concur, AMEX Travel, TripIt, Microsoft Teams, and Zoom meetings
- Global calendaring experience in a matrixed environment understanding time zone impacts to meetings and travel schedules
- Flexibility and willingness to accommodate request from stakeholders in multiple time zones
- Detail oriented with strong organizational skills and the ability to prioritize various tasks simultaneously
- Ability to maintain a high degree of confidentiality when exposed to sensitive Cybersecurity matters
- Excellent and demonstrated analytical, problem-solving, organizational and prioritization skills to support the varying needs for a diverse group of Tech talent
- Self-starter and works well in a team environment
- Proactive and self-motivated, with demonstrated ability to work independently and handle multiple responsibilities with tight deliverable deadlines

The anticipated base pay range for this position is $77,000 to $124,200.

The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation’s performance over a calendar/performance year.
