The Ministry of Highways is seeking a highly motivated, well-organized and detail and team-oriented professional to join us in the role of Executive Coordinator.

As the Executive Coordinator, you will provide administrative and office management support to the Deputy Minister, Assistant Deputy Ministers, branch Executive Assistants and Manager of Executive Operations.

  • Manage calendars through collaboration, prioritization and scheduling;
  • Monitor and redirect information and requests to team members as required;
  • Plan, schedule and coordinate travel and logistics for meetings, training sessions and other events;
  • Draft, record, proofread and/or edit a variety of correspondence in accordance with Government of Saskatchewan (GOS) visual identity standards;
  • Coordinate and organize ministerial referrals, casework and inquiries ensuring responses are provided in a timely manner; using electronic systems (ServiceNow);
  • Coordinate meetings including drafting and distributing agendas; meeting materials;
  • Manage incoming and outgoing correspondence ensuring proper distribution;
  • Maintain manual and electronic filing, bring forward and records management systems;
  • Verify, code, process and track invoices for approval and payment ensuring policy compliance;
  • Order supplies and arrange office equipment repairs and furniture replacement; and
  • Coordinating staffing actions and supporting hiring documentation.

The ideal candidate will be an experienced administrative professional who is:

  • Able to anticipate and identify issues, make timely and accurate decisions and independently organize, prioritize and complete multiple tasks while dealing with frequent interruptions and tight deadlines;
  • Approachable and collaborative in order to build strong working relationships with various team members;
  • An exceptional communicator both verbally and in writing;
  • Innovative in order to identify and make process improvement recommendations;
  • Thorough and accurate to ensure quality;
  • Able to work within government systems, protocols, policies and procedures to ensure accuracy and compliance;
  • Able to demonstrate the Government of Saskatchewan values;
  • Adaptable in order to meet new challenges as they arise;
  • Professional, client-focused, confident, highly motivated and have exceptional interpersonal skills;
  • You will use strong computer skills to type, format and proofread a variety of sensitive and confidential documents such as general correspondence, briefing materials, and Cabinet items; and
  • Approachable and collaborative to build strong working relationships.

Typically, the knowledge and experience required for this position is obtained through:

  • A combination of formal education in business or office administration, combined with work experience in a similar role; and
  • Experience using a variety of computer software applications such as Microsoft Office Suite (Word, Excel, PowerPoint, Teams, OneNote and Outlook).
