The Ministry of Education is seeking an Executive Coordinator for the Early Years Branch.
Our candidate of choice will be an experienced administrative professional who:

- Has strong problem solving and decision-making skills to resolve issues;
- Is detail-oriented and has strong organization skills; and,
- Prioritizes and balances diverse and conflicting workload pressures.
Reporting to the Executive Director, the successful candidate will:
- Manage the Executive Director’s calendar through collaboration, prioritization, and scheduling;
- Assemble materials for the Executive Director in preparation for meetings;
- Coordinate meetings, including distributing agendas and recording minutes;
- Plan, schedule and coordinate travel and logistics for meetings, training session and other events;
- Track requests, projects and branch communications and routing through approvals;
- Draft, proofread and edit a variety of documents and correspondence;
- Monitor administrative processes and make improvements across the branch to ensure optimum efficiency;
- Provide advice to branch staff on government processes and standards;
- Verify, code, process, and track invoices for approval and payments ensuring policy compliance;
- Support the branch with staffing and other human resource functions;
- Maintain filing and archiving using ARMS and ORS filing system;
- Supervise administrative staff; and,
- Work closely with the administrative professionals in the Early Learning and Child Care Renewal Branch and Deputy Minister’s Office, ensure coordination and quality products.
The successful candidate will have knowledge of:
- Office management and administrative practices, procedures, protocols and equipment; and,
- Computer software applications and programs including Microsoft Word, Excel, Outlook, SharePoint.
- Knowledge of government software and data bases would be an asset.
Typically, the knowledge and abilities required for this position would be obtained through the completion of a certificate or diploma in administration combined with significant work experience, leadership in an office manager position, or an equivalent combination of training and experience at a senior level.
