Under the hood, we build systems to manage sourcing of cars, inspection, photography, merchandising, reconditioning, financing, insurance, shipping and many more. We are seeking a highly skilled Executive Coordinator with a legal background to support our executive team. The ideal candidate will be proficient in English, and have at least 2 years of experience in a similar role.
REQUIREMENTS
- Meeting Documentation: Prepare professional and accurate minutes of meetings (MOM) for executive and board meetings, capturing all relevant details and action items.
- Contract Review: Analyze and manage company contracts to ensure legal compliance and alignment with company policies. Provide recommendations for improvements or amendments.
- Board Meeting Attendance: Attend board meetings with the CEO, taking detailed notes, preparing reports, and ensuring all necessary documentation is prepared and organized. Assist in follow-up actions as needed.
- Stock Options and Shares Management: Oversee the administration of stock options and shares, including tracking, reporting, and ensuring compliance with legal and company guidelines.
- Schedule and Travel Coordination: Manage the executive’s schedule, arrange meetings, and coordinate travel logistics, including accommodations and transportation.
- Administrative Support: Provide high-level administrative support, including handling confidential information, preparing presentations, and coordinating communications.
Requirements:
- Legal Background: Background in law or legal studies is preferred, providing a solid understanding of legal documentation and compliance.
- English Proficiency: Exceptional proficiency in English, both written and spoken.
- Experience: Minimum of 2 years of experience as an Executive Coordinator or in a similar administrative role supporting senior executives.
- Organizational Skills: Strong organizational abilities, capable of managing multiple tasks, prioritizing effectively, and meeting deadlines.
- Attention to Detail: High attention to detail, especially in preparing and reviewing documents and managing sensitive information.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with executives, board members, and external stakeholders.
