Description:
The Executive Office, Travel & HR Administrator will be responsible for managing corporate international travel arrangements, support Executives with PA duties, ensuring seamless office operations, and providing comprehensive HR administrative support. The role involves handling international travel logistics, overseeing office supplies and maintenance, organizing events, and managing HR processes such as onboarding, offboarding, induction training, recruitment, policy and procedures as well as HR related internal audits.
Key Responsibilities
Corporate Travel Administration
- Arrange and book international and travel, including flights, accommodation, visas, transport, and itinerary changes.
- Order Forex and manage Forex cash advances.
- Ensure compliance with company travel policies and best practices.
Executive Directors’ PA Duties
- Manage and coordinate the Executive Directors’ schedules, appointments, and meetings.
- Prepare agendas, minutes, and reports for executive meetings.
- Handle confidential correspondence and communication on behalf of the Executive Directors.
- Support in preparing formal company letters and documents.
- Act as a liaison between Executive Directors and internal/external stakeholders.
- Assist with administrative tasks as required.
Office Administration and Management
- Maintain office supplies, including stationery, groceries, and printer services.
- Manage office maintenance, repairs, and facilities upkeep.
- Organize corporate events, functions, and management meetings.
- Draft letters, handle formal communication, and maintain contract documentation.
HR Administration
- Handle onboarding and offboarding processes, including induction training, formal approvals as per company policy and document management.
- Liaise with labour contractors and support Finance manager with HR related administration and internal audit support.
- Assist in recruitment, job postings, and employee documentation management.
Education
- Diploma or Degree Office Administration, Executive PA, HR or related field.
Experience
- +/- 5 years’ experience in foreign travel coordination, executive PA duties, office administration and HR support roles.
- Experience in handling international travel logistics is a must.
Languages
- Professional and formal communication skills, verbal and written in English is a must.
- Other languages are a plus.
Technical Skills
- Proficiency in MS 365 Office Suite (Outlook, Word, Excel, PowerPoint).
- Knowledge of South African labour laws and HR compliance requirements.
- Proven track record of office management and document control.
Soft Skills

Knowledge
