Responsibilities:
Ensure the smooth running of the i6 global office network (UK, USA, Canada), and support & manage the Directors and Senior Leadership Team in an executive assistant capacity. This includes improving global communication, prioritisation, productivity & efficiency (eg. meetings, travel etc), thus enabling them to focus on more critical aspects of their work and personal life.
Key tasks / responsibilities:
- Board and Executive meeting attendance - as minute & action taker
- Build strong i6 business knowledge that will allow for effective anticipation and management of business priorities
- Preparation of agendas for each meeting; follow up of all actions
- Drafting of key correspondence, presentations, communication to are prepared to a high standard business from Board, Exec, Management, ensuring that all materials
- Booking and arranging business travel, transport and accommodation using travel management platform
- Prioritise time on the most strategic and important topics
Attending Office tenant meetings as and when required to represent i6Address & execute deliverables head on through to completion.
Main point of contact for global offices for:
- Maintenance - condition/repairs
- Responsibility for suitability and acquisition/ rental of office space Mailing & general telephone enquiries
- Supplies - maintain/replenish/invoicing/payment
- Manage all office facilities (contract and price negotiations) with office landlord, service providers and office lease
- Collating & filing Director expenses
Liaise with facility management vendors, including cleaning, catering and security servicesManage office budget, ensure accurate and timely reporting Liaising with staff, suppliers and clients
Other responsibilities include:
- Provide excellent customer/stakeholder service at every opportunity both internally and externally.
- Provide exceptional Investor relations management on behalf of the i6 Executive committee.
- Put the client first and accommodate changing business priorities with a positive outlook and ensuring other team members are sharing the change in direction
- Continue to be driven by supporting the needs of our customers as the first priority whilst ensuring the day to day role is carried out to a high standard
- Support the business and department by improving processes and enhancing efficiencies
- Communicate highly effectively and early both internally and externally as appropriate

- Protect the security of all company and customer data/information at all times.
