Contract type: Permanent
Hours: Full-time, 37.5 hours per week
Salary: circa £42,000 depending on experience
Location: London/Leeds/Birmingham
WFH policy: Employees are required to attend the office 2 days/week
Flexible working: Variety of flexible work patterns subject to line manager discretion e.g. Compressed 9-day fortnight.

SKILLS KNOWLEDGE AND EXPERTISE

Essential:

  • Excellent interpersonal skills.
  • Demonstrable experience of supporting senior leaders, or appropriate equivalent experience, including diary management.
  • Ability to manage a range of senior stakeholders in an effective and efficient manner.
  • Self-starter; applies initiative and judgement to solve problems day to day.
  • Adept in juggling competing priorities and time management.
  • Skilled at communicating and building strong relationships with a wide variety of stakeholders; internal and external.
  • Strong attention to detail and the ability to ‘zoom in and out’ effectively.
  • Upholds the highest standards of professionalism and confidentiality at all times.
  • Excellent IT Skills including Office 365 (Excel, Word, and PowerPoint).

Desirable:

  • Event planning and management experience.

Responsibilities:

ROLE SUMMARY:

We have an opportunity for an experienced Executive PA to support members of our Senior Leadership Team (SLT) as we continue to scale.
This role is key to setting our senior leaders up for success; ensuring they have the information and support they need to fulfil their responsibilities effectively. This includes (not exhaustive) diary management, travel booking, meeting organisation and preparation, expenses and broader administrative duties.
The role will suit someone with strong initiative and relationship building skills and excellent attention to detail, time management and prioritisation skills.
Although this is a stand-alone role reporting to one of the Directors, it will need to work closely with existing EA/PAs in the business, and flexibly to ensure appropriate support levels across the leadership population.

KEY RESPONSIBILITIES

Diary management

  • Diary and inbox management and prioritisation.
  • Travel and accommodation booking and expenses management.
  • Ensuring senior leaders are well prepped for meetings; including creation and issuance of meeting packs, briefing documents, presentations etc.
  • Advising senior leaders of impending deadlines and other priorities / conflicts.

Meetings

  • Organisation of team meetings and events; including room and venue booking.
  • Arranging meetings with external stakeholders; from energy operators to government ministers; including site visits and conferences.
  • Support to organisation of company-wide events.

Administrative support

  • Raising purchase orders and checking and processing invoices.
  • Assisting leaders with onboarding of new starters e.g. introduction meetings.
  • Deputising for other EAs in their absence, including those who support the Board and attend and minute SLT Committee meetings.
