ABOUT US:

Temp Electrix is a family-run organization founded in 2017. Since our inception, we have successfully secured large-scale projects for some of the UK’s most reputable contractors. As we continue to grow and develop, we are looking for a dedicated and organized Executive Personal Assistant to support our Managing Director in a fast-paced environment.

POSITION OVERVIEW:

The Executive Personal Assistant will provide high-level administrative support to the Managing Director, ensuring the efficient operation of the office and contributing to various organizational initiatives. The role involves managing schedules, coordinating projects, and assisting with reports and communications across multiple departments.
Key Responsibilities:

Administrative Support:

  • Manage the Managing Director’s calendar, scheduling meetings and appointments as required.
  • Prepare and organize meeting materials, agendas, and minutes.
  • Handle correspondence, including emails, phone calls, and other communications.

Human Resources:

  • Assist with recruitment activities, including scheduling interviews and coordination with candidates.
  • Support onboarding processes for new employees and help maintain HR records.
  • Schedule probationary, annual and one to one review meetings

Customer Satisfaction Surveys:

  • Help design, distribute, and analyze customer satisfaction surveys.
  • Summarize survey results and coordinate follow-up actions based on customer feedback.

Lead Generation:

  • Support marketing and sales initiatives by organizing events and managing communication with potential leads.
  • Maintain and update marketing databases and assist with outreach activities.

KPI Reporting:

  • Compile data and prepare reports on key performance indicators for presentation to the Managing Director.
  • Coordinate with different departments to gather relevant data and insights for reporting.

Coordination:

  • Assist with annual renewal of various accreditations.
  • Support the Managing Director with any ad-hoc tasks as necessary.
  • Support new staff members with systems and process management training

Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role.
  • Strong organizational and multitasking skills, with keen attention to detail.
  • Excellent written and verbal communication abilities.
  • Proficient in office software (e.g., Microsoft Office Suite,) and familiarity with project management tools.
  • Basic knowledge of HR processes and customer satisfaction methodologies is preferred.
  • Ability to maintain confidentiality and exercise discretion.
