OVERVIEW

We are a fast-growing mobile gaming studio based in Abu Dhabi, seeking an organized and proactive Personal and Executive Assistant to support our CEO. The ideal candidate will have at least 3 years of experience in an administrative role, ideally within the tech sphere, and will bring exceptional organizational, communication, and multitasking skills. This role requires a reliable, detail-oriented individual who can maintain professionalism and discretion while handling a wide array of responsibilities.
This position is based at our state-of-the-art offices on Yas Island, Abu Dhabi

Responsibilities:

EXECUTIVE ASSISTANT (EA) RESPONSIBILITIES

  • Calendar Management: Organize and manage the CEO’s calendar, coordinating across multiple time zones, prioritizing appointments, and strategically scheduling meetings to optimize efficiency.
  • Communication Management: Screen and manage incoming emails and correspondence and ensure timely follow-up on key issues.
  • Extensive Travel Coordination: Plan and organize all business-related travel arrangements, including booking flights, securing accommodations, arranging ground transportation and preparing detailed itineraries.Liaise with clients, partners, and event organizers in advance to ensure all logistics align with the CEO’s schedule. Prepare travel expense reports and manage reimbursements related to travel activities.
  • Information & File Management: Organize and maintain digital records, ensuring secure storage and easy access for sensitive files, reports, and other documentation.
  • Project Assistance: Provide support on a variety of projects, conducting research, preparing summaries, and coordinating with relevant departments to track progress and deadlines.
  • Event Coordination: Assist in planning and executing corporate events, conferences, and other high-level functions, including managing RSVPs, preparing agendas, and coordinating logistics.
  • LinkedIn & Social Media Management: Collaborate with the Social Media Manager to keep the CEO’s LinkedIn and company profiles up-to-date, sharing news, updates, and achievements to enhance brand visibility and engagement.
  • Office Management: Oversee office supplies, petty cash, and maintain a well-organized workspace to ensure daily operations run smoothly.

PERSONAL ASSISTANT (PA) RESPONSIBILITIES

  • Personal Support: Manage personal appointments, handle correspondence, and coordinate commitments for the CEO
  • Comprehensive Support: Provide proactive assistance with both business and personal tasks, maintaining close alignment with the CEO’s preferences and priorities.
  • Stay Informed: Keep the CEO updated on relevant industry news, networking opportunities, and upcoming events, providing summaries as needed.
  • Confidentiality and Discretion: Handle all matters with absolute confidentiality, maintaining discretion in all interactions on behalf of the CEO.
  • Personal Travel Arrangements: Arrange personal travel for the CEO
  • Property Management: Collaborate and communicate with the property manager to ensure the CEO is up-to-date with property information and status.
