JOB PROFILE SUMMARY

To provide full secretarial and administrative support to the Head of Transaction Services APAC (Head) including the Transaction Services teams.

Responsibilities:

  • Support the Head with respect to his calendar and meeting schedules, and his email Inbox.
  • Take care of travel arrangements for the Head and teams.
  • Prepare and submit expense claims for the Head and his direct reports.
  • Prepare documents and presentation materials for the Head and teams.
  • Field calls and answer queries from external and internal parties.
  • Arrange & coordinate internal/external meetings where required, and related logistics.
  • Assist in arranging and executing internal/external events, including managing & coordinating with internal and external service providers; logistics, organization; costing, sourcing etc.
  • Perform secretariate role for formal meetings, such as preparation of agenda items, coordination of invitations and minutes.
  • Arrange and monitor department stationery orders and supplies.
  • Maintain the Hospitality Register for Gifts & Entertainment.
  • Co-ordinate business continuity planning activities.
  • Support the teams on onboarding of new joiners and off-boarding of leavers.
  • Maintain a strong working knowledge of the organization’s policies and relevant codes of conduct, such as travel and entertainment policies, and leave policies, with the ability to support the Head as the first line gatekeeper on claim/approval requests.
  • Any other secretarial / administrative tasks as assigned by the Head.
