Required Qualifications, US:

  • 2+ years of Executive Administrative Support experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, educatio

Desired Qualifications:

  • Experience as an Administrative Assistant/Secretary in a corporate professional environment with direct experience supporting multiple senior executive level business leaders
  • Strong analytical skills with high attention to detail and accuracy
  • Advanced skills in the use of Microsoft Office (Word, Excel, Outlook, and PowerPoint)
  • Proficient in drafting and proof-reading written documents utilizing proper grammar, punctuation, and spelling
  • Proficiency in articulating, communicating professionally and appropriately with confidence at all levels and across functional lines
  • Strong project management skills with demonstrated ability to prioritize work, meet deadlines, achieve goals, work under pressure, and independently handle highly complex tasks or projects

Responsibilities:

Wells Fargo is seeking an Executive Specialist in Legal to support the Wealth and Investment Management (WIM) Deputy General Counsel.
The Executive Specialist role provides administrative support to the Legal Department’s more senior level team members. Job duties consist of handling highly complex assignments as well as the routine day-to-day administrative tasks. In this role, you will:

  • Calendaring - Complex calendar management/resolution of conflicts. Scheduling meetings, including video and audio conference calls.
  • Communication - Interact and act as a liaison with senior and executive level business clients and partners.
  • Expenses - Process expense reports according to Wells Fargo policy, route/process invoices, and process check requests.
  • Manager Proxy - Act as delegate for managers on corporate systems where proxies are allowed.
  • Meeting Logistics - Prepare meeting agendas, materials, presentations. Coordinate reservations for meeting space, equipment needs, and catering.
  • Presentation Materials - Create, edit, and update brand standard PowerPoint presentations and create visual presentations such as charts and graphs.
  • Travel - Make travel arrangements, adjustments as needed, create itineraries, and coordinate ground transportation.
  • Visitor Logistics - Register guests with security, arrange for visitor/temporary badge access, reserve workspace, and act as primary point of contact for visitors including greeting and escorting them throughout the facility.
