Description:

The role In this role, you will play a pivotal part in ensuring the efficient operation of executive functions within the team. Your primary responsibilities include organising, managing, and providing confidential executive and secretarial support, such as producing high-quality documents, screening inquiries, managing diaries, preparing itineraries, booking approved travel, and prioritising tasks to prevent unnecessary interruptions. You will also be responsible for coordinating and scheduling meetings and events, negotiating with colleagues to ensure availability, and booking necessary resources such as rooms, equipment, catering, and parking for external stakeholders.
Maintaining effective communication between key FPaCS stakeholders, both internally and externally, is essential. You will liaise with various personnel and senior officials within Queensland Health, ensuring the dissemination of information and decisions with tact and professionalism. Autonomy and discretion are crucial as you handle matters within defined boundaries on behalf of the executive. Additionally, you will coordinate and prioritise communications, papers, meeting documentation, and reports, assist in preparing briefing notes and submissions, and undertake research and analysis of sensitive matters. As a member of a high-performing team, you will contribute to quality improvement initiatives, develop work systems to meet executive needs, and provide advice and support using contemporary software and information systems. Your role is crucial in maintaining the efficiency and effectiveness of the office.
The successful personTo excel in this position, you should demonstrate a proven ability to efficiently manage the office of a senior executive in a high-demand, fast-paced setting. Exceptional communication and interpersonal skills are essential, enabling you to liaise, negotiate, and consult with a diverse range of clients, including senior executives, managers, and the public on various sensitive matters.
Additionally, you should possess the ability to enhance administrative systems and practices, employing problem-solving skills to address a wide array of complex issues for both internal and external clients and stakeholders. You should be capable of identifying and leading service improvement initiatives with strong conceptual, analytical, and innovative skills. The role requires you to work independently, exercising discretion in the absence of decision-makers, to set work priorities and meet deadlines in a complex environment.
