REQUIREMENTS

Sound knowledge gained in a previous role
Organised in administrative duties and activities
Previous involvement in pricing, raising purchase orders and invoicing
Experience of car fleet management and related purchases such as tyre, repairs and fuel cards
Insurance procedures - accident reporting
Experience in contractor quotes and site facility management
High level of organisational skills
Good telephone manner and communication

Responsibilities:

You will support the Purchasing Manager and site in assistance of all functions pertained within the Operations Department in the coordination, administration and documentation of activities relating to Purchasing and Facilities management.
Complete Site facilities management and contracts to meet compliance requirements, regulatory guidelines and deadlines.
Manage all vehicle activities from point of sourcing through to sale.
Ensure all vehicle activities are coordinated, tracking systems are managed, reviewed and communicate meaningful KPI’s.
Ensure the Vehicle fleet systems are up to date and all drivers are provided with the correct information.
Manage indirect spends and day to day running of indirect contracts such as facility, insurance and car fleet activities.
Liaise with all internal departments to ensure effective communication of Operations activities.
Organise and control administrative duties involved on all Purchasing activities for the business.
Raising of purchase orders through to invoice completions and sign off.
Identify improvements and implement within the boundaries of contracts, pricing and department documentation.
Research new products and services, providing suitable evidenced analysis.
Manage the set up of new products on the relevant internal systems.
Obtain the best price for all indirect spend, control costs to budgetary targets and deliver savings - Identify and propose where potential savings can be made to generate revenue or reduce expenditure.
Support the Purchasing Manager on direct spend, account set up and ensure new materials adhere to quality & technical specifications
Negotiate trading terms and agreements with vendors under direction as and when specified.
Compile reports for monthly and quarterly deadlines.
Ensure the Purchasing function offers the best possible service to the business in terms of quality and price.
Maintaining records of supplier contracts.
