The Role:
The Facilities Co-Ordinator will provide assistance to the Facilities Manager, for the smooth and efficient running of Northern Trust’s offices in Guernsey. The position will work alongside the Facilities Manager to support both in-house and outsourced activities to add service value and commercial focus to the FM function. To build successful relationships with key stakeholders, Workplaces Services team members and EMEA partners. To ensure the FM function remains aligned with organisational goals and management of risk. Provide financial analysis on all budgets for the Guernsey properties.
Principal Responsibilities:

General Management

  • Work with the Facilities Manager to provide support to the Head of WPS, Guernsey for the delivery of WPS
  • functions.
  • Assist in the planning of operational FM activities and services for Guernsey.
  • Responsible for monitoring performance of assigned vendors to ensure targets are met within budget.
  • Ensure all contract documentation is current and compliant with Northern Trust procurement policy.
  • Undertake the budget management of assigned vendors.
  • Assist with compiling the annual budget for the group for Guernsey.
  • Provide monthly reporting on variance, accruals and forecasting.
  • Provide support and training on all accounting systems used to submit invoices for payment.
  • Provide training and support to other EMEA locations on monthly financial reporting and budgeting.
  • Provide support to direct reports, including performance reviews, the setting of personal and team objectives,
  • identifying training requirements and support continuous professional development.

Facilities Management Services

  • Responsible for the delivery of a cost efficient and high quality FM deliveries for the Guernsey operation
  • including but not limited to:
  • Building engineering maintenance service and support
  • Cleaning services
  • Hospitality services
  • Reception & switchboard services
  • Post & distribution services
  • Health & safety
  • WPS Helpdesk and reservations
  • Internal business moves & space planning
  • Document storage and management
  • Business continuity
  • Administration
  • Vendor management

Skills / Experience Required:

  • The ideal candidate should have a proven track record in the management of FM contracts in a professional services firm. Experience within a global organisation would be beneficial.
  • Demonstrate successful contract management.
  • Proven ability to build and maintain strong vendor relationships.
  • Experience in financial management and budgeting.
  • Advanced Microsoft Office experience (focusing on Excel, Word, PowerPoint and Project) required.
  • Ability to bring a fresh approach.
  • Excellent written and oral communication skills, including presentation and negotiation skills
  • Ability to manage and inspire team members, giving direction and focus.
  • Ability to manage multiple projects and priorities.
  • Understand the legal framework of contracts.
  • Demonstrate successful management of contracts and measurement of service excellence.
  • Bolster productivity within budget constraints.
  • Ability to network at all levels of the organisation.
  • Flexibility and adaptability to changing business requirements
  • Ability to display initiative, confidence and professionalism in all dealings
